Job Summary The Admin Assistant Manager will support the Operations team in managing day-to-day administrative functions, HR coordination, and office operations. This role is ideal for someone who thrives in a fast-paced, multilingual environment and enjoys keeping things organized behind the scenes. Key Responsibilities Assist in daily administrative operations across office, showroom, and factory locations Support HR functions including onboarding, attendance tracking, and staff communications (English/Mandarin) Prepare and maintain internal documentation, SOPs, and company notices Coordinate with Finance, HR, and department leads on payroll-related administrative tasks Manage correspondence, filing systems, and office supplies/inventory Assist with work pass/permit administration and liaison with MOM where required Support recruitment coordination — scheduling interviews, preparing offer letters Help maintain a smooth-running, organized, and compliant office environment Assist in preparing meeting materials, minutes, and follow-ups Requirements Diploma or equivalent in Business Administration, HR, or related field 4-5 years of relevant administrative/HR support experience, ideally in a multi-entity or SME environment Bilingual proficiency in English and Mandarin (spoken and written) preferred, given multilingual workforce Strong organizational skills with high attention to detail Proficient in Microsoft Office (Word, Excel, PowerPoint) Familiarity with Singapore employment practices (CPF, MOM regulations) a plus Positive, professional attitude with strong interpersonal skills Ability to multitask and manage competing priorities across departments
