Regional Investment & Fund Management Company Exposure to Japanese-speaking Shareholders & Investors Direct Support to Senior Leadership Collaborative & Professional Working Environment Our client is an established investment and fund management company seeking a proactive and highly organised Executive Assistant to provide dedicated support to senior management while coordinating with Japanese-speaking shareholders, investors, and regional business stakeholders. Key Responsibilities Provide comprehensive executive support, including calendar management, meeting coordination, travel arrangements, expense claims, and daily administrative support. Coordinate business communications, correspondence, and follow-ups with Japanese-speaking shareholders, investors, and regional stakeholders. Prepare presentations, reports, meeting materials, minutes, and executive documentation. Act as the key liaison between senior management, clients, shareholders, investors, and internal teams to ensure timely communication and follow-up. Organise executive meetings, corporate events, business visits, and regional travel arrangements. Maintain confidential records, databases, filing systems, and administrative documentation. Support office administration, process improvements, and ad-hoc projects as assigned. Requirements Diploma or Degree in Business Administration, Communications, or a related discipline. At least 5 years of experience supporting senior management or C-suite executives. Excellent organisational, communication, and stakeholder management skills. Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). Proficiency in spoken and written Japanese is required to support business communications, prepare correspondence and documents, coordinate meetings, and liaise with Japanese-speaking shareholders, investors, and business partners. Able to work independently, manage multiple priorities, and handle confidential information with professionalism. Experience supporting executives within investment management, financial services, private equity, or multinational organisations will be advantageous.
