About this role

Job Summary You will provide administrative support for project maintenance by managing data entry, scanning, filing, and updating records. You will coordinate inspection schedules, prepare invoices and lists, manage key collections, and assist with safety and account documentation to ensure smooth project operations. Responsibilities Enter and update project maintenance records accurately to maintain current documentation Scan and file documents to organize project information for easy retrieval Manage daily reports by updating and maintaining accurate records Request and manage key collections and update related information in systems Coordinate weekly inspection schedules to support project compliance and readiness Prepare subcontractor invoices to facilitate timely payments Compile lists to request SP opening accounts and M&E drawings for project needs Generate safety entry QR codes and maintain associated records Download and update photo documentation to track project progress Provide general administrative support to the project team as needed Perform ad-hoc duties assigned to support project operations Write professional emails and letters to communicate effectively with stakeholders Use Microsoft Office, Excel, and phone applications proficiently to complete tasks Preferred competencies and qualifications GCE 'O' Level, ITE in Office Skills, or Diploma in any field Minimum 2 years of relevant administrative experience Strong organizational skills to manage multiple tasks efficiently Attention to detail to ensure accuracy in documentation and reporting Ability to multitask and prioritize workload effectively
