About The Role As the Associate Executive, Logistics in ALPS, you will be based in one of the 27 Public Healthcare Institutions (PHI) in Singapore , you will be responsible for the logistics support and inventory control within the PHI. Leading a team , you will provide proactive planning and coordination of logistics operations while ensuring inventory accountability and system accuracy. You will also communicate closely with hospital users to support in the hospital’s daily operations for patients’ care. Key Responsibilities 1. Store/Warehouse Management - Assist to plan/organise and maintain a good physical layout and maximise storage space Put-away and replenish all goods according to established stock policy Maintain a safe, clean, neat, and tidy warehouse Implement appropriate policies, procedures, and internal controls for store activities to achieve smooth operation with good efficiency Ensure maintenance schedules for equipment are carried out as scheduled, if any [Applicable for Pharma Log] Perform medication labelling process Maintain and ensure cold chain management for vaccines and other cold chain supplies if any Topping up of drugs accurately (automated medication cabinets) if any Monitor storage requirements 2. Goods Receipt Management (Receiving) Check and receive items from the vendors, which include data entry into system and verification of items received against PO/DO and checking of expiry dates & batch number Receive non-stock goods and special inventory (cold chain) for distribution to users Enforce goods receipt are completed on a timely basis Assist in monitoring and evaluate the performance of vendors with regards to the receiving process/delivery Attend to enquiries and respond to feedback by stakeholders. Verify goods receiving documents to ensure that inventory data entries in the ERP/SAP system are accurate Create commissioning request in system for technical department to perform equipment commissioning if applicable 3. Goods Issuing/Supplies Distribution Management Issue and process critical ad hoc and urgent orders Pick supplies and check according to FIFO (First In First Out) or FEFO (First Expiry First Out) basis Handle and resolve daily issuing related queries and escalate to supervisor if necessar [Applicable for Pharma Log]: Top up Emergency kits for exchange with users, if required. Top up AMC (automated medication cabinet) with understanding of various functions e.g. assign bins Communicate to users when there is different brands in AMC with potential med safety issues Prepare storage bins for ward stocks in wards without automated medication cabinet according to the pre-assigned par levels if applicable Handling of biochemical hazards if required 4. Inventory Management Able to use inventory management system effectively (data entry, par entry). Maintain departmental inventory reports and records and collate statistical inventory data for administrative and regulatory purposes. Maintain oversight in supervising storekeepers in ensuring that stock levels are maintained in accordance with Minimum Quantity Level (MQL) established. Co-ordinate and perform periodic cycle counts and stock take, investigate and raise any discrepancies to the relevant parties Provide inventory accounting and analysis report Inform the Purchasing section when stock reach re-order point and assist to coordinate any withdrawal of products (product recalls or to be quarantined) as advised Maintain effective inventory control systems for the central and sub stores, following FIFO or FEFO method Maintain stocks at end user areas according to respective Par levels Suggest addition/reduction of par levels according to end users' usage Coordinate the return of expired stocks from all areas for disposal according to guidelines Perform stock reconciliation 5.
