HR Assistant Job Description Security – 1. Base Access Daily/Monthly clearance for Sembawang (Vendors/Subcon/Employees/Interview Candidates) Background check submission to PSD – New application / Renewal Tracking of clearance & background check with Govt personnel Coordinating with PSD & IAPF/BDSSU for badges making / appointment making / Formsendorsement Tracking of Wharves access - Submission for approval / application / renewal (PSD) Access – Coordination with Berth Officer from British Defence for Briefing Tracking of renewal list monthly 2. Vehicle Access Submission of applications – Company / Lease / Personal vehicle Follow up of applications – New application / Renewal Tracking of expiry / renewal / new application Coordination with PSD and applicants for decal process HR Related – 3. Training & Development Tracking of course based on requirements of MOM/BCA or PWS Coordinating/Application/Submission of Course to Training Provider/BCA/MOM Sourcing for Course provider Tracking of certificates/licenses for P-Files Organizing and coordinating training sessions, including scheduling, venue booking, and logistics. Developing, reviewing, and disseminating training materials, including manuals, presentations, and assessment tools. Communicating with employees, trainers, and other stakeholders about training activities. 4. Travel / Visitors Support PM on arranging schedules and meeting Supports on Travels arrangements, visa applications, bookings and other administrative requirements Arrangements of accommodations Arrangement of transportations 5. HR Miscellaneous duties Assist in the recruitment process / Set up interviews and issue relevant correspondence Insurance processing / tracking Employees Medical check-up when required - Coordinating / Booking Leave updates/Tracking. Maintaining P-Files/ Filing / Scanning Tracking of employee evaluations/appraisals MOM Work Permit renewals, applications. Etc EXPERIENCE: Minimum 2 years of related experience - HR Administrative support & Business Support Strong organizational skills are essential for managing multiple tasks, schedules, and resources. Excellent communication skills are necessary for interacting with employees, trainers, and other stakeholders. Able to maintain confidentiality of sensitive information. Accuracy and attention to detail are crucial for maintaining accurate records and reports with minimal supervision. The flexibility and willingness to learn.
