About this role

Cobelfret is a well-established group of dry bulk shipping companies with offices in Luxemburg, Singapore, Switzerland, Miami and Antwerp. We operate worldwide a time-chartered and owned fleet of about 100 vessels ranging from handysizes to capesizes. For our office in Singapore, we are looking for a dynamic and multitasking Office Manager to ensure the smooth running of our Singapore office. Within this hands-on and varied role, you will support daily office operations, administration, HR coordination, compliance documentation, internal communications and team engagement. As the central point of contact for employees, management, visitors, board members, vendors and external stakeholders, you will help create a professional, efficient and welcoming office environment. Your key responsibilities will be: HR · Support payroll activities, onboarding, offboarding, staff records and employee documentation. · Coordinate expense claims, health insurance and employee administration. · Assist with recruitment, job postings and interview coordination. · Support MOM submission, work pass applications and local HR reporting. Communication & Stakeholder Liaison · Act as the main contact for employees, management, visitors, board members, vendors and external stakeholders. · Coordinate internal communications, announcements and team updates. · Ensure a professional welcome for visitors and guests. Administration & Scheduling · Manage daily administration, correspondence, calls and general inquiries. · Coordinate board meetings, agendas, materials and logistics. · Arrange travel, accommodation and meeting logistics for visitors. Operations & Logistics · Manage office supplies, equipment, procurement, catering and meeting rooms. · Coordinate vendors, service providers, facilities and office maintenance. · Support office budget tracking and cost control. · Improve office processes and workflows where possible. Governance & Compliance · Prepare and maintain board, governance and compliance documentation. · Track regulatory filings, deadlines and internal follow-ups. · Support policy documentation and implementation. Culture & Engagement · Organise company events, team activities and staff engagement initiatives. · Support welcome activities for new joiners. · Contribute to a positive and collaborative office culture. · Requirements · Strong organisational and multitasking skills. · Excellent written and verbal communication skills. · High attention to detail and strong follow-through. · Professional, discreet and able to handle confidential information. · Proactive, solution-oriented and able to work independently. · Comfortable dealing with senior stakeholders, visitors, vendors and employees at all levels. · Proficient in Microsoft Office and comfortable with digital office systems. · Familiarity with Singapore HR administration, MOM submissions, work passes or compliance processes is an advantage.
