Work Location: Raffles Place Woking Hours: 9.00 am to 6.00 pm Responsibilities: The Receptionist and Office Administrator is responsible for supporting the smooth and efficient day-to-day operation of the office. The role provides reception, administrative and facilities support to ensure a professional, welcoming and well-organised workplace environment. This position reports to the Office Manager. 1) Reception · Serve as the first point of contact for all visitors and guests. · Screen, receive and direct visitors in a professional and welcoming manner. · Manage meeting room bookings and ensure all meeting rooms are maintained and ready for use. · Provide concierge support for guests, including serving of beverages. · Handle telephone calls professionally and route them to the appropriate staff members. 2) Mail Management · Collect, sort and distribute incoming mail from the mailroom. · Prepare and send registered mail, including purchasing stamps when necessary. · Send client statements and process outgoing mail at the end of each day. · Coordinate local and international courier arrangements 3) Office/ Facilities Support · Manage the procurement of stationery, pantry supplies, business cards and name stamps. · Maintain office equipment, including photocopiers, printers and related supplies. · Proactively identify equipment replacement needs and coordinate related work to minimise disruption. · Support facility services, including office management, maintenance, safety and security matters. · Coordinate office housekeeping and maintenance with vendors, such as chair repairs, carpet cleaning and glass cleaning. · Manage access cards and related administrative processes. · Provide logistical and administrative support for in-house events. · Print and sort account opening documents. · Scan and organise documents as required. Requirements: · Minimum 2 years of relevant reception and administration experience, ideally in Banking and Financial - Advanced proficiency in Microsoft Office, including Word, Outlook, Excel and PowerPoint. · Strong attention to detail, with a proactive and organised approach to work. · Able to work independently while also contributing effectively as part of a team. · Willing to take initiative and support responsibilities beyond the core job scope when required. · Open, approachable and service-oriented in dealing with colleagues, visitors and external parties. · Enthusiastic, self-motivated and committed to maintaining a professional office environment.
