Job Summary The Management Support Officer provides administrative, operational, and coordination support to the management team. The role requires proficiency in speaking, reading, and writing Japanese to facilitate communication with Japanese stakeholders, translate business documents, and support daily business operations between local and Japanese offices. Key Responsibilities Administrative & Management Support Provide comprehensive administrative support to senior management. Coordinate meetings, appointments, travel arrangements, and business schedules. Prepare meeting agendas, presentations, reports, and minutes. Maintain confidential records, documents, and correspondence. Japanese Language Support Translate documents, reports, emails, contracts, and business correspondence between Japanese and English. Interpret during meetings, conferences, and discussions with Japanese clients, suppliers, and business partners. Facilitate communication between local and Japanese teams to ensure smooth business operations. Assist in preparing bilingual reports and presentations. Coordination & Communication Liaise with internal departments and external stakeholders. Coordinate projects, follow up on action items, and monitor progress. Support management in handling inquiries and resolving operational issues. Assist in organizing company events, business visits, and corporate activities involving Japanese stakeholders. Documentation & Reporting Prepare monthly management reports and operational summaries. Maintain accurate records and filing systems. Assist in data analysis and report preparation for management review. Ensure documentation complies with company policies and procedures. General Office Support Support office administration and daily operations. Handle correspondence, telephone calls, and email communications. Perform ad-hoc duties assigned by management. Requirements Education & Experience Diploma or Degree in Business Administration, Management, Japanese Studies, or related disciplines. Minimum 2 years of administrative, executive support, or coordination experience preferred. Language Requirements Proficient in speaking, reading, and writing Japanese for communicating with Japanese stakeholders Ability to communicate effectively in English. Japanese Language Proficiency Test (JLPT) N2 or N1 preferred to work with Japanese stakeholders Skills & Competencies Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook). Ability to handle confidential information with discretion. Strong attention to detail and problem-solving skills. Ability to work independently and collaboratively in a multicultural environment.
