JOB PURPOSE: The Project/Operations Coordinator supports the planning, execution, and delivery of projects by coordinating tasks, resources, and communication among stakeholders. This role ensures project timelines, documentation, and reporting are maintained accurately and efficiently. The coordinator plays a key part in keeping projects on track, within budget, and aligned with company standards. KEY ACCOUNTABILITIES: Assist in the planning and execution of marine and offshore projects with onsite and workshop attendance when required. Coordinate with internal teams, contractors, suppliers, and authorities to ensure timely delivery of materials and services. Maintain and update project timesheets in Navision. Plan and purchase materials and consumables, and issue PO to suppliers in Navision. Control and manage project documents for manpower mobilization such as entry pass, gate pass, freelance contracts, work authorization, and monitor project schedules and progress. Travel coordination such transport arrangement, visa application, flights and accommodation, cash advances, etc. Ensure full compliance with safety, health, and environmental regulations and mandatory training required.. Support project budget and expenses tracking and assist with invoice verification and cost control. Support logistics planning and operations to execute projects timely and within the budget. Perform other tasks as may be assigned by the Project teams. PERFORMANCE INDICATORS: Accuracy of project documentation and reporting Timeliness of logistics and manpower arrangements Compliance rate with HSE and project standards QUALIFICATIONS, EXPERIENCE & SKILLS: Minimum Qualification: Diploma in Engineering, Project Management, or a related technical field. Equivalent technical certifications combined with relevant experience may also be considered. Minimum Experience: 2-5 years of experience in project coordination or a similar role, preferably in engineering, marine, oil & gas, or industrial sectors. General Skills: Ensures accuracy in documentation, reporting, and communication to minimize errors and maintain project integrity. Skilled in using project management and documentation tools such as Microsoft Dynamics Navision or Business Central Flexible in adjusting to shifting priorities, dynamic project scopes, and unexpected challenges. Works effectively in cross-functional teams, supports colleagues, and fosters a collaborative work environment. Strong written and verbal communication skills to ensure clear coordination with internal and external stakeholders. Maintains confidentiality and demonstrates professionalism when handling sensitive information.
