- Reporting Structure, Orientation and Training You will be working closely under key managers and accounts department within the Group of Companies in accordance with respective parties operation procedures and guidelines as directed by Management. Orientation and briefing will be provided during initial employment for familiarisation of Key HR Policies and Guidelines. For HR Personnel not familiar with Construction Sector Workers’ training courses requirements and Foreign Workers employment policies for compliance with MOM and Building Construction Authority, relevant briefing will be conducted and where necessary to attend training course to keep up with new MOM policies and BCA regulations. - Job Scopes & Duties Your responsibilities shall include but not limited to the following:- (a) Computation and Preparation of all workers and staff payrolls from timecard records. (b) CPF contribution submission and keeping of proper records. (c) Administration of work passes matters for all foreign workers and operation staff including online application and cancellation through MOM portals. (d) Updating of local and foreign workers and staff headcounts within Group of Companies constantly for the administration and monitoring of work passes quota through spreadsheet and MOM portal. (e) Handling of recruitment process including job postings, screening of potential candidates, interview arrangement and conducting of new staff orientation with regard to Company’s policies and regulations. (f) Preparation of employment contracts for all workers and staff as directed by Management. (g) Tracking of newly employed workers and staff probation records and preparation of employment confirmation letter accordingly upon approval by management. (h) Administration and tracking of medical benefits and annual leave entitlement. (i) Monitor training plans register for workers in accordance with government agencies policies and regulation and submit the necessary training requests such as CSOC, BCSS, Work-At-Height and Coretrade etc courses to management for approval. (j) Preparation of workers appraisal forms, disciplinary warning letters, workers and staff exit clearance form and checklist. (k) Consolidation of all workers and staff daily timesheet records and generates weekly report to account and management for costing and budgetary analysis. (l) Assist Management on Government Grants application and submission. (m) Administration of all insurance policies yearly renewal and insurance application for inclusion of newly employed workers and staff. (n) Upkeep companies’ fleet vehicles Insurance and Road Tax renewal records including arrangement of inspection prior to Road Tax renewal and payment of traffic fines when require. (o) Assist Management in handling of workers dormitory matters including upkeep of in-house dormitory facilities and maintenance to meet regulatory requirements & licence application/renewal. (p) Assist Management on the arrangement of internship programme with higher education institutes. (q) Administration of office general supplies and stationaries and make the necessary purchases. Qualifications Polytechnic Diploma or ITE Higher Nitec in HR/Admin Minimum 3 years experience in admin, hr and recruitment Well organized, independent & solutions-driven individual Resilient and able to work in a fast-paced environment Proficiency in Microsoft Office programs (Eg. Excel, Word) Strong communication and interpersonal skills Understanding of general human resources policies and procedures Preferably with experience working in construction related companies and familiar with MOM Work Pass application & quota requirements (S-Pass / Work permit / EP) Good knowledge of employment/labour laws Able to work independently and in a team environment
