Role Summary We are hiring a fresh diploma graduate to join our team in a general administration role, with structured exposure and training towards project administration and coordination . This is a good fit for someone who is highly proficient in English, organised, and genuinely willing to learn—comfortable starting with day-to-day admin tasks while building capability to support project teams. Key Responsibilities General Administration Coordinate day-to-day office operations (cleaning schedules, pantry/consumables restocking, and general office upkeep) Liaise with vendors/building management for routine services (e.g., cleaning, maintenance, deliveries) and follow up on outstanding items Keep basic office inventories (pantry, stationery, printing supplies) and raise replenishment requests Provide general administrative support (filing, document control, correspondence, basic record keeping) Prepare simple documents, forms, and trackers (training provided) Assist with meeting coordination and minutes when required Support ad hoc office errands and operational coordination as needed Project Administration (Training Track) Support project teams with document formatting, versioning, and submissions tracking Maintain project folders, transmittals, logs, and basic reporting/trackers Coordinate internal deadlines and follow-ups (consultants/submissions/admin items) Assist with compiling project materials (e.g., drawings sets, forms, schedules) under guidance HR / Finance Admin Support (Exposure over time) Support basic HR admin tasks (onboarding checklists, training records, leave/claims filing support) Support basic finance admin tasks (invoice filing, simple data checks, document collation for accounts) Requirements Diploma in Business Administration / Human Resource Management / Accounting / Finance / Operations / Built Environment-related admin (or similar) Fresh graduates are welcome; internships/part-time admin experience is a plus Excellent written and spoken English (this is essential) Strong attention to detail and willingness to learn Comfortable with structured admin work (tracking, organising, following up) Proficient in Microsoft Office (especially Word and Excel); willingness to learn new tools and internal systems Preferred Traits (what we will prioritise in interviews) Clear communicator, confident writing emails and notes in English Reliable follow-through and task ownership Organised and methodical; enjoys keeping things tidy and systematic Positive learning attitude; not afraid of “small tasks” and repetition What You’ll Gain Structured exposure to project administration workflows On-the-job training and mentorship Opportunity to grow into a specialised track (Project Admin first; HR/Finance admin exposure depending on fit)
