Job Description Job OverviewThis role is responsible for delivering high-level executive and administrative support to senior stakeholders and the Sales & Marketing function. The position involves managing calendars, coordinating meetings, and preparing business materials. In addition, the role supports day-to-day operations through reporting, budget oversight, procurement activities, and asset tracking. The individual will also assist with sales leadership initiatives, travel arrangements, event coordination, and onboarding processes to ensure seamless and efficient departmental operations.Key ResponsibilitiesExecutive Support & Scheduling Oversee and prioritize the Vice President's schedule, including organizing meetings, resolving conflicts, and maximizing time efficiency Prepare meeting agendas and ensure all supporting materials are ready in advance Administrative & Operational Support Develop and refine documents, presentations, and reports Consolidate and generate regular reports for stakeholders Support budget planning, expense tracking, and financial monitoring for the department Perform asset tracking and related administrative duties Act as a liaison between the team and internal audit stakeholders Sales Leadership Coordination Provide operational support for leadership meetings such as QBRs, weekly updates, and strategy sessions Monitor action items, track deliverables, and follow up on commitments Travel & Events Management Arrange travel bookings, prepare itineraries, and manage expense claims Ensure accuracy and smooth coordination of travel logistics Support the planning and execution of departmental events, both internal and external Departmental Support (Sales & Marketing) Deliver comprehensive administrative and operational assistance to the Sales & Marketing team Manage procurement activities, including raising purchase requests/orders and tracking department spend Coordinate onboarding for new employees and support engagement initiatives (e.g., wellness activities) Organize meeting logistics, visitor arrangements, and event coordination, including room bookings and visa support where required The Successful Applicant A successful Executive Assistant, Sales and Marketing, should have: Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Proficiency in AI tools Co-Pilot etc is a plus Familiarity with budgeting, procurement processes (Purchase Requisitions/PO), and reporting is a plus Excellent organisational abilities and attention to detail. Capability to handle multiple tasks and meet deadlines under pressure. Experience working in a fast-paced industrial/manufacturing environment is advantageous.
