ROLESAND RESPONSIBILITIES HRAND ADMIN EXCUTIVE · Maintain QuickHR (Leave, WFH, Monthly attendance, leave cancellation & update new employee details) · Coordinating events (Office gatherings, Employee Birthdays, Office Trip) · Helping in recruitment process · Maintain employee records/ documents. · Handling local HR matters · Coordinate internship program (local)Maintain HR operational documents (E.g., Employee Handbook, Standard Operating Procedures, Policies and Guidelines, Service Agreement & Contract of Employment, etc.) · Prepare ISO Documentation for Human Resource Department · Recruitment activities from screening, shortlisting, interviewing, selection, offering, preparation, and administering the signing of contracts. · Onboarding and offboarding process · Manage HR operations such as preparing and maintaining personal files and records of employees. · Manage holiday calendar and leave balance. · Maintaining and recording employee attendance · Support employee engagement activities in the company · Compliance with government divisions · Assist in any other task assigned. · Oversee daily HR operations of the HR department. · Assist Finance team on finance-related matters. · Assist IT Team on IT related matters. · Assist in the preparation of regularly scheduled reports. · Develop and Maintain a Filing System for all office/confidential Documents · Make Travel Arrangements for Employees and Organize Travel arrangements · Book Conference Calls, Rooms, Taxis, Couriers, Hotels and etc. · Maintain Computer and Manual Filing Systems · Submit and Reconcile Expense Reports for Various Countries · Carry out administrative duties such as filing, typing, copying, binding, scanning & etc. · Handle sensitive information in a confidential manner. · Reply to email, telephone and face to face inquiries. · Develop administrative staff by providing information, educational opportunities and experimental growth. · Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed suppliers; placing orders forsupplies; verifying receipt of supplies. · Must be able to work independently and in teams,handle multiple tasks and able to work in a high standard in an environment where tight timelines/deadlines are normal course. · Assist in bookkeeping and payroll review employees monthly travel claims. Requirements · Bachelor’s degree or diploma in Business Administration or a related field · 1–3 years of experience in an administrative or office support role · Good communication skills in English (spoken and written) · Proficient in MS Office (Word, Excel, Outlook, PowerPoint) · Strong organizational and time-management skills · Ability to multitask and work independently · Attention to detail and a proactive working attitude
