OFFICE MANAGER JOB DESCRIPTION This person will manage day-to-day office operations, oversee local facilities and vendors, ensure workplace safety compliance, and collaborate closely with global and regional REWSS leadership. ● Workplace Operations &Experience: Oversee daily operations and curate a welcoming, inclusive environment for employees, clients, and partners. Manage mailroom logistics, office supplies, shipping/receiving, and facilities management. ● Facilities & Vendor Management: Act as the primary liaison with building management, landlords, and external contractors (cleaning, MEP, security, catering). Evaluate vendor performance, negotiate contracts, and ensure the office remains in pristine condition. ● Environment, Health, Safety& Security (EHSS): Maintain strict compliance with Singapore's local workplace safety regulations and fire safety codes. Act as a key stakeholder in building emergency response programs and manage local access control/physical security systems. ● Financial Stewardship: Manage the local REWSS operating budget. Oversee corporate purchase orders (POs), cross-functional billing, vendor invoice matching, and local expense forecasting. ● Culture & Event Management: Partner with local leadership, HR, and Employee Resource Groups (ERGs)to coordinate internal office events, celebrations, and community initiatives that reinforce unique culture. ● Project Support: Assist regional REWSS project managers with office expansions, layout optimizations, and MAC (Moves, Adds, Changes) initiatives as the Singapore hub scales. REQUIREMENT ● Experience: 5+ years of progressive experience in Office Management, Workplace Services, or Facilities Management, ideally within a fast growing multinational technology or corporate environment. ● Local Expertise: Thorough knowledge of Singapore’s building management practices, vendor landscapes, and Ministry of Manpower workplace safety guidelines. ● Technical Savvy: Proficiency with modern workplace tech tools (e.g., GSuite, Slack, Zoom, Service now ticketing systems, and basic financial tools). ● Communication Skills: Exceptional interpersonal, written, and verbal communication skills. You can gracefully handle executive escalations and vendor negotiations alike. ● Mindset: A highly proactive, self-motivated approach with a "no task is too small" attitude. You possess strong emotional intelligence (EQ) and can maintain a calm, structured focus during ambiguity or high-pressure situations.
