Job Summary The Receptionist & Administrative Executive manages front desk operations, delivers administrative support, and assists office management to ensure smooth daily functions. This role requires professionalism, friendliness, and effective support for visitors and employees. Responsibilities Reception Duties Greet and assist visitors, clients, business partners, and vendors professionally to create a welcoming environment Answer incoming phone calls and manage mail, courier, and package deliveries efficiently Coordinate meeting room bookings and arrange visitor logistics to support smooth meetings Administrative Duties Procure office supplies, control inventory, and liaise with vendors to maintain adequate resources Facilitate employee onboarding and offboarding by managing related administrative procedures Prepare and coordinate company meetings, ensuring all logistics and materials are in place Oversee office equipment maintenance and coordinate repairs to ensure operational readiness Office Operations Support Maintain organized daily office operations to support a productive work environment Process expense claims, file invoices, and maintain accurate administrative records Provide administrative assistance to management and various departments to support business functions Execute ad hoc administrative tasks assigned by management to meet evolving office needs Required competencies and certifications Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) to support administrative tasks Strong organizational and multitasking skills to manage multiple responsibilities effectively Detail-oriented and customer service focused to ensure accuracy and positive stakeholder interactions Preferred competencies and qualifications Diploma or Bachelor's Degree in Business Administration, Administrative Management, or related field Minimum 1 year of experience in reception, administration, or similar roles; fresh graduates with strong potential are welcome Professional appearance, excellent interpersonal skills, and a positive attitude to represent the company well Other Information Compensation & Benefits Competitive salary package Annual leave, medical leave, and statutory benefits Friendly and collaborative working environment
