Job Description The National University of Singapore invites applications for a Laboratory Executive (Assistant Manager / Manager) position in the Department of Electrical and Computer Engineering, College of Design and Engineering. We are seeking a highly organised and proactive Laboratory Executive (Assistant Manager / Manager) to support laboratory procurement and oversee day-to-day operations. This position is primarily essential for ensuring that the laboratory runs safely, smoothly, and efficiently. The successful candidate will serve as the main point of contact and administrator for internal lab coordination, safety and compliance, purchasing, inventory management, and administrative matters. Duties & Responsibilities 1. Laboratory Operations & Internal Coordination • Maintain daily laboratory order, cleanliness, and shared workspaces. • Support internal and external communications, ensuring effective coordination across stakeholders. • Enforce laboratory rules, SOPs, and good research practices. • Maintain laboratory equipment inventory • Maintain the highest standard of professional conduct and record keeping in accordance with policies and procedures. • Responsible for transport, care of and disposal of animal models, such as fish, amphibians and rodents, etc. 2. Safety Management • Oversee daily laboratory safety practices and ensure compliance with safety guidelines. • Support safety documentation, onboarding procedures, and liaise with safety officers. • Assist with any other duties of a similar nature that are delegated by the Principal Investigator. 3. Grant Finance & Claims • Monitor grant budgets, commitments, utilisation and remaining balances. • Coordinate claims submission, supporting documents, WBS tracking and claims-related queries. • Reconcile approved budgets, actual spend and remaining balances, and flag under-utilisation, overspend or budget risk early. • Maintain clear, reliable financial views to support management decisions and grantor reporting. • Manage grant audits. 4. Procurement, Inventory & Finances • Lead the procurement follow-through for grant-funded activities, from request initiation to PO, vendor follow-up and closure. • Coordinate with project teams, procurement, finance and vendors to resolve delays or documentation issues. • Ensure procurement is aligned with approved budgets, grant requirements and internal policies. 5. Administrative & General Support • Liaise with the HR office and support HR-related functions, including but not limited to recruitment, onboarding etc, • Assist with basic travel or conference arrangements, and coordinate reimbursements, shipments, equipment servicing, and fixed asset records. • Assist with any other duties of a similar nature that are delegated by the Principal Investigator. Qualifications • Bachelor’s degree in related discipline is preferred; candidates with strong administrative and lab-management experience will also be considered. • Strong organisational skills and attention to detail; • Good understanding of basic laboratory safety principles; prior safety or lab-management experience is a plus. • Excellent interpersonal and communication skills; • Comfortable interacting with vendors, administrative offices, and external collaborators. • Proficiency in Microsoft Excel, Word, and PowerPoint; familiarity with SAP, Concur, or Power BI is an advantage. • Some Proficiency with AI to aid in administrative tasks. • Responsible, reliable, and able to work independently while maintaining regular communication with the Principal Investigator. • Open to Fixed Term Contract.
