About this role
1. Administrative Support Provide comprehensive administrative support for Bicentennial initiatives and internal communications, including the preparation and dissemination of electronic direct mailers (EDMs) to keep staff informed of upcoming events and activities. Prepare, format, and coordinate presentation materials for Working Committee and Steering Committee meetings. Maintain accurate, organised, and up-to-date records of project documentation, correspondence, approvals, and related communications. 2. Event & Programme Logistics Coordinate and manage logistical arrangements for meetings and events, including venue sourcing, room bookings, and setup requirements. Facilitate security clearances, building access, and onboarding arrangements for vendors, contractors, and external stakeholders. Support the Bicentennial team in the planning, coordination, and execution of day-to-day event operations and programme activities. 3. Communications Support Consolidate and manage staff-submitted photographs and well-wishes for review and selection by the relevant subcommittees. Proofread content for the digital wishing wall and coordinate with vendors to ensure accurate and timely display of information. Liaise with the IT team to update and maintain content on the Bicentennial corporate website and intranet pages. 4. Inventory & Record Management Manage the tracking and distribution of Bicentennial medallions, ensuring inventory records are accurate, current, and properly documented. Maintain detailed inventory reports and audit trails to support accountability, stock reconciliation, and effective inventory control.
