Roles & Responsibilities Job Description: We are seeking a proactive and experienced Administrative Manager to oversee administrative operations within our construction company in Singapore. This role is crucial in ensuring smooth office and project site administration, regulatory compliance (including BCA, MOM, and WSH requirements), and effective coordination among project teams, subcontractors, and stakeholders. Key Responsibilities: • Supervise and coordinate administrative staff across office and construction sites • Manage all project documentation, including permits (e.g. BCA, URA), contracts, insurance, and safety records • Ensure compliance with Singaporean laws and regulations (MOM, WSHC, CPF, etc.) • Maintain filing systems for all statutory and project-related documentation • Prepare and submit documentation for project approvals, inspections, and audits • Coordinate procurement processes and manage office/site supplies inventory • Assist with HR administration (e.g., timesheets, work passes, onboarding of foreign workers, insurance, etc.) • Liaise with government bodies such as MOM, BCA, NEA, and SCDF as required • Schedule internal and external meetings, inspections, and site visits • Support project costing, petty cash handling, and invoice processing • Ensure proper documentation of workplace safety and health requirements (WSH) • Assist in managing tender submissions and track deadlines • Monitor and renew licenses, permits, and certificates Qualifications: Education: • Degree or Diploma in Business Administration, Construction Management, or equivalent • Additional certifications in project administration, WSH, or HR are advantageous • Familiarity with Singapore’s construction regulatory framework (e.g., BCA, MOM) is essential Experience: • Minimum 3 years of administrative experience in the construction industry in Singapore • Experience liaising with government agencies and managing compliance matters • Prior experience handling foreign worker documentation and permit applications Skills: • Strong command of English (spoken and written); other languages (e.g., Mandarin, Tamil, Malay) are a plus • Proficient in Microsoft Office and construction software (e.g., Procore, AutoCAD, Oracle Primavera) • Familiarity with WSH documentation, permit applications, and CPF submissions • Excellent organisational, leadership, and time management skills • Ability to work under pressure and meet tight deadlines
