About this role
The successful applicant will play an active role in overseeing the organisation’s knowledge and information assets to ensure the effective retention, management, and sharing of information across the organisation. The key responsibilities include: • Supporting the digital transformation of the organisation’s records management infrastructure through the implementation of approved solutions and system performance monitoring. • Providing assistance with the Records Retention Schedule, creating new record types and working with stakeholders on the disposition of registry files in accordance with prevailing archival requirements. • Ensuring proper filing and record-keeping of all documents and information to facilitate future efficient retrieval and knowledge retention. • Developing a systematic records declassification approach and structure, and performing records declassifications in accordance with IM4L procedures. • Identifying Records Management learning needs for officers, designing and rolling out appropriate Records Management education content and outreach materials, including e-Learning, virtual sharing, and face-to-face clinic sessions to meet these learning needs. • Engaging staff to uplift knowledge of Records Management and sharing of prevailing requirements. • Utilising emerging technologies to modernise and optimise the organisation’s Records Management processes. • Managing mail scanning and distribution, processing of courier services, and distribution of newspapers. • Coordinating and documenting asset disposal procedures, ensuring timely and accurate submissions. • Maintaining and updating the Corporate Cluster’s asset inventory, ensuring accurate records of all Corporate assets. • Managing contracts and tenancy agreements, including the drafting and renewal processes, covering tenancy agreements, general insurance, and newspaper subscriptions. • Professional Qualifications in Information Management, Business Administration, or a related field, with at least 2 years of relevant experience in Records Management or registry operations. • Good working knowledge of Records Management principles, and current industry practices. • Experience in data analytics and the use of data visualisation tools will be advantageous. • Possess strong critical thinking, communication, writing, and presentation skills.
