HR Executive – Preschool Industry Working Location: Bukit Timah Working Days: Monday to Friday Working Hours: 9:00am to 6:00pm Salary: $3,800 to $4,500 per month Job Responsibilities Human Resource Operations Manage employee records, personnel files and HR documentation. Prepare employment contracts, confirmation letters, salary adjustment letters, transfer letters and other employment-related documents. Maintain accurate employee information in the HR system. Monitor employee confirmation dates, contract expiry dates and other employment milestones. Support employee onboarding and offboarding processes. Coordinate employee clearance and final documentation for resigning employees. Employee Relations Handle employee enquiries relating to company policies, employment terms, leave and HR procedures. Administer employee disciplinary and grievance processes in accordance with company policies and employment regulations. Prepare documentation for counselling, warning and disciplinary matters. Support investigations into workplace and employee-related matters. Maintain records of employee relations cases and follow-up actions. Work Pass Administration Manage work pass applications, renewals, cancellations and transfers. Monitor work pass validity and renewal deadlines. Liaise with relevant government agencies on work pass matters. Maintain accurate records of foreign employees and work pass status. Support compliance with foreign manpower quota and regulatory requirements. Manpower Planning and Recruitment Support manpower planning across multiple preschool centres. Maintain and update headcount, vacancy and manpower reports. Coordinate recruitment activities, including job advertisements, candidate screening and interview scheduling. Prepare employment offers and coordinate pre-employment documentation. Work with centre leaders to identify replacement and additional manpower requirements. Track recruitment progress and employee commencement dates. Leave, Attendance and Payroll Support Maintain employee leave, attendance and medical leave records. Verify attendance, overtime, allowances and payroll-related information. Prepare monthly payroll input and supporting documentation. Coordinate with the payroll team or external payroll provider on payroll matters. Support CPF, levy and statutory contribution administration where required. HR Policies and Compliance Maintain and update HR policies, procedures and employee handbooks. Support compliance with the Employment Act, Child Care Centres Act, ECDA requirements and other applicable regulations. Prepare documents and records for internal and external audits. Maintain confidentiality and proper access control for employee information. Support government surveys, grant applications and statutory submissions. General Administration Prepare HR reports, headcount reports and manpower movement reports. Coordinate employee training registrations and maintain training records. Support insurance enrolment, employee benefits administration and claims processing. Perform other HR and administrative duties related to preschool operations. Job Requirements Diploma or Degree in Human Resource Management, Business Administration or a related discipline. Minimum 5 years of relevant human resource experience. Experience working in the preschool, childcare or education industry is preferred. Experience handling employee relations, work passes and HR documentation.
