Role Overview Our client is looking for an Admin Executive to support its day-to-day operations. You'll help keep customers, designers, suppliers, and the retail team aligned, making sure orders are processed correctly, stock is accounted for, and work moves smoothly from enquiry to delivery. The role suits someone organised and detail-focused who is comfortable managing several tasks at once in a busy retail environment. Key Responsibilities Orders & admin Maintain daily sales reports, tracking sheets, and project records. Manage customer enquiries and orders through internal systems. Ensure order forms are complete, accurate, and production-ready. Handle general office and operational admin as needed. Production coordination Track each order from confirmation through to delivery. Coordinate with suppliers on drawings, production progress, and timelines. Communicate customer requirements and specifications clearly to the design team. Follow up with internal and external contacts to keep schedules on track. Quality control Check each finished piece before it reaches the customer. Confirm items match the design brief and meet company standards. Work with the relevant team to resolve any issues. Inventory & store operations Maintain accurate records of jewellery, gemstones, and materials. Assist with stock takes and reconciliations. Support store operations — tagging, labelling, pricing, merchandising prep, and store admin through a camera. Keep stock records and documentation up to date. Logistics & fulfilment Arrange shipping for customer orders and supplier deliveries. Prepare packaging and shipping documentation. Print certificates, invoices, labels, and other operational materials. Coordinate courier collections and deliveries. Requirements Diploma and above or equivalent preferred. One to three years in admin or operations, ideally in retail, jewellery, or luxury goods. Organised with strong attention to detail. Good communication and interpersonal skills. Able to manage multiple stakeholders and projects at once. Quick to learn new software and digital tools. Fluent in English and Mandarin, spoken and written. Logical, resourceful, and able to work independently. An appreciation for jewellery, gemstones, fashion, or luxury retail. An artistic eye and the ability to read design concepts and technical drawings. Experience with CRM or inventory management systems.
