## Job Description We are seeking a dedicated and detail-oriented Building Operations Executive to join our team. The successful candidate will coordinate and manage building maintenance and repair works from the initial fault report through to completion, ensuring all works are carried out safely, efficiently, and in accordance with client requirements. ### Key Responsibilities *Operations Coordination* * Respond promptly to fault reports, maintenance requests, and site survey requests. * Conduct site inspections and liaise with clients to assess maintenance requirements. * Coordinate repair, replacement, and maintenance works with suppliers and subcontractors. * Monitor work progress and ensure works are completed on time and in accordance with quality standards. * Ensure compliance with company procedures and workplace safety requirements. *Quotation & Procurement* * Assess maintenance requirements and determine whether works fall within the approved cost cap. * Obtain competitive quotations from suppliers and subcontractors. * Prepare and submit quotations to clients within the required timeline. * Prepare Purchase Orders (PO) and coordinate procurement approvals. * Ensure supplier and subcontractor quotations and credit terms comply with company policies. *Project Administration* * Prepare and submit Risk Assessment Plans (RAP), Permit to Work (PTW), Method Statements, and other required documentation. * Coordinate material deliveries and subcontractor schedules. * Liaise with internal departments, clients, consultants, and contractors to ensure smooth project execution. *Documentation & Reporting* * Prepare final costing and supporting documentation upon completion of works. * Obtain signed Certificates of Completion (COC) from clients. * Submit completed documentation for billing and payment processing. * Maintain accurate records of quotations, maintenance works, and project documentation. ## Requirements * Diploma in Building Services, Facilities Management, Mechanical Engineering, Electrical Engineering, or a related discipline. * Minimum 1–3 years of relevant experience in building operations, facilities management, property maintenance, or construction. * Knowledge of building maintenance, contractor coordination, and procurement processes. * Familiarity with RAP, PTW, and workplace safety requirements will be an advantage. * Good communication, interpersonal, and organizational skills. * Proficient in Microsoft Office applications. * Able to work independently, priorities tasks, and manage multiple assignments in a fast-paced environment.
