Job Summary Serve as a strategic Executive Assistant & Operations Lead supporting the Executive Director by managing diverse operational functions, driving excellence, and ensuring seamless execution across multiple business areas. Responsibilities -Develop and deliver high-quality board presentations and proposals that support strategic decision-making -Coordinate and manage regional client events and leadership appointments to enhance stakeholder engagement -Plan and execute travel arrangements ensuring efficiency and compliance with company policies -Oversee internal office controls to maintain operational effectiveness and compliance with regulatory requirements -Administer recruitment processes including managing candidate pipelines and coordinating interviews to support talent acquisition -Facilitate training administration to ensure staff development and compliance with organizational standards -Monitor and enforce compliance controls to meet legal and corporate governance standards -Conduct and coordinate interviews with candidates, ensuring a professional and effective selection process -Manage client retention initiatives and lead generation activities to support business growth and client satisfaction Required competencies and certifications -Advanced proficiency in Microsoft Office 365 applications (PowerPoint, Excel, Word, Teams) to produce professional documents and presentations -Working knowledge of MOM e-Services, IRAS myTax Portal, and ACRA Bizfile+ for compliance and administrative tasks -Exceptional organizational skills to prioritize and manage multiple competing tasks without errors -High level of discretion and integrity in handling confidential information -Strong written and verbal communication skills in English; Mandarin proficiency is a plus for client-facing interactions -Proactive self-starter with the ability to anticipate needs and act independently -High emotional intelligence and poise in interactions with senior stakeholders and clients -Diploma or Degree in Business Administration, Management, or related field -Minimum 3 years of progressive office administration experience with exposure to at least 3–4 functional areas such as compliance, HR administration, business development support, and events Preferred competencies and qualifications Relevant professional certifications in administration or related fields are advantageous
