Job Responsibilities The Certification Executive will support the company’s workplace safety, health, certification and compliance requirements. You will work closely with certification bodies, external auditors and assessors to coordinate all certification, surveillance and renewal audits. You will be expected to prepare and submit the required documents and audit evidence before each audit. You will be expected to coordinate with the relevant departments to ensure audit readiness, attend audits, respond to auditors’ requests and follow-up on observations, non-conformities, corrective actions and audit closure. Key responsibilities include: Risk Assessment Management Review, evaluate and update project Risk Assessments. Assist the Sales and Operations teams in preparing safety documentation according to project and customer requirements. Maintain proper records of approved Risk Assessments and Safe Work Procedures. HSE Meetings Organise, conduct and chair monthly HSE meetings, normally held on the last Thursday of each month. Prepare meeting agendas, presentation materials and meeting minutes. Follow up with the relevant departments on outstanding HSE action items. Office Safety Inspections Conduct regular office safety inspections. Complete and update the Office Safety Inspection Checklist. Report unsafe conditions and follow up on corrective actions. PPE Monitoring Assist the Operations team in monitoring the issuance and proper use of Personal Protective Equipment. Maintain PPE distribution records. Ensure workers possess the required safety certifications and training before deployment. Safety and Health Committee Organise Safety and Health Committee meetings. Prepare meeting agendas and minutes. Monitor and follow up on corrective and preventive actions raised during meetings. Fire Safety Equipment Ensure fire extinguishers and hose reels are regularly inspected and accessible. Ensure fire safety equipment is free from obstruction and properly maintained. Maintain inspection, servicing and renewal records. First Aid and AED Management Ensure First Aid Boxes and AEDs are available at the required locations. Conduct regular checks to ensure all equipment is complete, serviceable and within its expiry date. Arrange for replenishment, servicing or replacement when required. Corporate Certifications and Awards Assist in managing company certifications and awards, including ISO, bizSAFE Star, Business Continuity Management and the Enabling Mark. Maintain a master list of certifications, licenses, awards and renewal dates. Ensure all supporting documents, records and evidence are properly updated and filed. Coordinate with internal departments, auditors, assessors and external certification bodies. Incident Reporting Prepare incident reports and compile all supporting information. Maintain records of investigations, corrective actions and preventive actions. Submit completed documentation to the Operations team for review before external submission. Follow up to ensure all actions are properly closed. Other Safety and Certification Matters Assist with safety awards, assessments, audits and inspections. Support MOM inspections and other regulatory requirements. Prepare documentation requested by customers, auditors or government authorities. Perform other safety, certification and compliance-related duties as assigned. Job Requirements Diploma or relevant qualification in Workplace Safety and Health, Business Administration, Quality Management or a related discipline. Relevant experience in safety administration, certification, ISO documentation or construction operations is preferred.
