Role Overview Reporting to Deputy Executive Director, Shared Impact Philanthropy, the IT Operations & Technology Manager leads ACF's IT function with a dual mandate: to ensure that the organisation's technology environment is well-managed, secure, and reliably available; and to help ACF make better use of technology to improve how we work. As the organisation continues to grow and deepen its impact across Asia, this role is expected to go beyond systems administration to actively enable staff to work more effectively, adopt new tools with confidence, and leverage AI and automation to reduce administrative burden and improve service delivery. Key Responsibilities: 1. Employee Lifecycle & Technology Governance Design and maintain technology policies, standards, and operating procedures that govern provisioning, access, asset management, and security baselines Manage end-to-end onboarding (device setup, access provisioning, security configuration) and offboarding (deactivation, asset recovery, access revocation) Maintain inventory and documentation of IT assets and configurations Ensure compliance with internal governance requirements and applicable regulatory obligations 2. IT Infrastructure & Systems Administration Administer and maintain organisational devices, platforms, applications, and cloud services Monitor system performance, availability, and security; troubleshoot incidents and service requests Support endpoint security, network connectivity, and collaboration tools Escalate complex issues to external vendors and tech partners as needed 3. Technology Enablement & Team Partnership Proactively engage with teams to understand operational challenges and identify technology solutions Evaluate emerging tools and AI-enabled applications that reduce administrative burden Translate business needs into practical technology solutions; partner with team leads on workflows and automation Contribute to knowledge management and collaboration infrastructure 4. Technology Adoption & Change Management Lead adoption planning for new technology initiatives; design and facilitate training tailored to varying tech proficiency levels Track usage patterns and gather feedback to refine rollouts Act as internal advocate for technology-enabled ways of working 5. Vendor & Stakeholder Management Serve as primary liaison with technology vendors and service providers Coordinate support requests, track SLAs, manage escalations Support vendor evaluation and performance management What Success Looks Like at 12 Months A successful first year in this role is defined by two complementary outcomes. On the operational side: ACF's technology environment is stable, secure, well-documented, and reliably managed with clear governance and vendor relationships in good order. On the enabling side: staff are measurably working more efficiently, technology adoption across the organisation has improved, and practical applications of AI and automation have begun to reduce administrative burden. The organisation's technology infrastructure has kept pace with ACF's growth, and there is a clear view of where it needs to go next. Experience and Skills Bachelor's degree in Information Technology, Computer Science, Information Systems, or related field(s). 5 to 7 years of experience in IT administration, IT operations, or technology support roles. Demonstrated experience translating business requirements and operational challenges into practical technology solutions. Track record supporting technology adoption, change management, and process improvement initiatives. Experience in administering Microsoft 365; working knowledge of Google Workspace would be advantageous. At least 1 year experience in supporting AI-enabled business applications or AI governance initiatives would be advantageous. Familiarity with endpoint management, identity and access management, and IT asset management. Experience working with third-party technology vendors and IT support providers.
