Job Title: Temporary Officer (Corporate Service Division) Employment Type: 12-Month Contract Location: Kim Keat Road Working Hours: Monday to Thursday: 8.30am – 6.00pm Friday: 8.30am – 5.30pm 5-day work week (Work from Office) Salary: Degree: S$20.77 per hour Diploma: S$13.64 per hour About the Role The Personal Assistant provides high-level administrative and secretariat support to senior management, ensuring effective coordination of daily operations, governance processes and stakeholder engagements. The role requires strong organisational skills, attention to detail, discretion in handling confidential information, and the ability to work within public sector protocols and compliance requirements. Key Roles and Responsibilities 1. Executive and Administrative Support Manage senior management's calendars, including scheduling of meetings, inter-agency engagements, and official appointments. Screen and manage emails, correspondence, and phone calls; prioritise matters requiring attention. Prepare briefing materials, reports, and presentations for meetings and official events, if required. Arrange and coordinate meeting schedules for management meetings, including maintaining meeting rosters. 2. Coordination with Stakeholders Liaise with internal divisions, government agencies (e.g. Ministries, GovTech), and external stakeholders. Ensure timely communication and alignment on key matters. 3. Travel, Claims, and Logistics Arrange official travel (flights, accommodation, transport) in line with public sector policies. Process travel claims and reimbursements in accordance with financial guidelines. Coordinate logistics for meetings, official visits, and events. 4. Compliance and Confidentiality Handle sensitive and confidential information with a high level of integrity. Ensure adherence to public sector governance, procurement, and records management policies. Support audit requirements by maintaining proper documentation and audit trails. 5. General Administrative Support Manage office administrative matters. Undertake ad hoc duties as assigned by senior management or the division.
