About this role

We are looking for a proactive, organised, and people-oriented Part-Time Office Administrator to support our day-to-day business operations in a fast-paced and collaborative environment. This role is ideal for someone who enjoys interacting with people, thrives on keeping things organised, and takes pride in delivering exceptional administrative support. You will work closely with the leadership team while coordinating with clients, internal teams, and external partners to ensure operations run efficiently and professionally. Key Responsibilities Calendar & Schedule Management Manage and coordinate calendars, appointments, and meeting schedules. Organise meeting invitations and ensure key stakeholders are informed of important schedules, deadlines, and follow-ups. Support effective time management by anticipating scheduling conflicts and prioritising urgent matters. Administrative & Stakeholder Support Provide comprehensive administrative support to the leadership team. Liaise professionally with clients, internal departments, insurers, and external business partners. Assist in coordinating daily operational activities to ensure smooth business workflows. Meeting Coordination Arrange meetings, prepare agendas and supporting materials where required. Record and monitor follow-up actions to ensure timely completion of tasks. Facilitate clear communication and coordination among stakeholders. Research & Documentation Conduct research and gather relevant information to support business planning and decision-making. Prepare reports, presentations, correspondence, and other business documents with accuracy and professionalism. Maintain organised records and ensure confidential information is handled with discretion. Candidate Profile Qualifications Diploma or higher qualification preferred. Skills & Attributes People-Oriented Friendly, approachable, and confident in communicating with clients, colleagues, and stakeholders at all levels. Able to build positive working relationships while maintaining a high level of professionalism. Organised & Efficient Strong organisational skills with the ability to manage multiple priorities in a dynamic environment. Excellent attention to detail and ability to deliver quality work within deadlines. Proactive & Independent Self-motivated with the ability to work independently and take ownership of responsibilities. Resourceful problem solver who demonstrates initiative and sound judgement. Communication & Coordination Excellent written and verbal communication skills. Strong planning, coordination, and follow-through abilities.
