DESCRIPTION OF ROLE The Food Safety, Executive is responsible for ensuring that all products comply with applicable local regulatory requirements. This role will assist Food Safety, Manager in implementing food safety initiatives, and ensuring compliance with food safety standards, regulations, and internal policies across all retail operations. The Food Safety, Executive will work closely with the Food Safety, Manager and cross-functional teams to uphold food safety standards, drive awareness, and ensure adherence to both food safety policies and regulatory requirements. KEY RESPONSIBILITIES Food Safety - Support the Food Safety, Manager and Food Safety, Senior Executive in the implementation, monitoring, and continuous improvement of food safety programs, standards, and regulatory compliance requirements across the business. - Conduct food safety, hygiene, supplier, and Own Brand product-related audits/visits, including shelf-life validation, product specification reviews, and first production trial assessments, and follow up on corrective actions to ensure food safety and quality requirements are met. - Assist in the maintenance of the Food Safety Management System (FSMS), including documentation, record management, reporting, testing result reviews, complaint tracking, and compliance monitoring. - Coordinate and support investigations of food safety incidents, customer complaints, pest-related issues, and non-conformances, working with internal stakeholders, suppliers, and service providers to implement and track corrective actions. - Partner with cross-functional teams, including Operations, Commercial, Learning &Development, Projects, suppliers, and external service providers, to support food safety initiatives, programme implementation, and continuous improvement activities. - Support the preparation and delivery of food safety training, briefings, communications, and awareness initiatives to strengthen food safety knowledge and culture within the organization. - Monitor updates to food safety regulations, industry alerts, and best practices, and support the communication and implementation of relevant requirements. - Provide administrative and operational support for food safety audits, certifications, inspections, projects, and other departmental activities as assigned. - Perform any other duties as assigned by the Food Safety Manager. Regulatory Affairs - Lead regulatory and product labelling compliance activities for food and non-food products (including cosmetics and household products), ensuring labels, packaging information, ingredient declarations, product claims, and supporting documentation comply with applicable regulatory requirements prior to importation and sale. - Conduct product and label compliance reviews, develop and communicate labelling requirements, and work closely with suppliers and internal stakeholders to ensure regulatory requirements are accurately implemented and maintained throughout the product lifecycle. - Manage regulatory compliance processes for imported products, including product notifications, pre-market approvals, certifications, licence renewals, and other mandatory registrations, while ensuring timely submissions and renew as to support business operations. - Monitor changes in legislation, regulatory requirements, and industry standards, assess potential business impact, and provide recommendations and guidance to stakeholders to ensure ongoing compliance. - Serve as the key liaison with regulatory authorities, certification bodies, suppliers, and business partners to obtain regulatory clarifications, resolve compliance issues, facilitate product approvals, and support smooth market access. - Maintain compliance trackers, regulatory databases, certifications, approvals, and supporting documentation, and coordinate regulatory submissions such as MUIS Halal certification applications and renewals, HSA cosmetic product notifications, and other statutory requirements to maintain compliance readiness.
