Job Description The HR & Admin Executive is responsible for managing the day-to-day administrative and human resources functions of the organization. Handle payroll and HR-related enquiries, working closely with employees, managers and relevant stakeholders to resolve issues in a timely manner. Maintain accurate employee records, HR databases and filing systems, ensuring data integrity, confidentiality and compliance with PDPA requirements. Support the full employee lifecycle, including recruitment, onboarding, confirmation, employee movements, offboarding and exit administration. Coordinate end-to-end recruitment activities for assigned vacancies, including job postings, interview arrangements, candidate communication, reference checks and preparation of employment documentation. Administer employee leave, benefits, training records and other HR operational processes, ensuring records remain accurate and up to date. Support the performance management process, including probation confirmation, annual performance appraisal and talent management initiatives. Prepare HR, payroll and manpower reports, staffing updates and workforce data to support management reporting, budgeting and manpower planning. Coordinate employee learning and development programmes, including course registration, training administration and monitoring of training hours. Support employee engagement and employee relations initiatives by organising staff activities and contributing to a positive workplace culture. Assist in reviewing HR policies, procedures and practices to ensure compliance with employment legislation and organisational requirements, and support internal and external audits by preparing the necessary HR documentation. Coordinate and attend HR Committee meetings, interviews and other HR-related appointments, including preparation of meeting agendas, minutes and follow-up actions. Manage enquiries received through the Association's general communication channels and provide administrative support for HR initiatives, organisational events and ad hoc projects. Any Other Responsibilities Provide first-level IT support to staff, coordinate with external vendors on IT-related matters, and oversee the administration of the Association's IT systems, user accounts, software licences and equipment. Support organisational IT governance by coordinating system maintenance, basic cybersecurity controls, user access administration and follow-up on identified IT risks and improvement initiatives. Data Protection Officer Handle personal data protection matters, including queries, complaints, and related follow-up actions.
