About this role

About the Role As a Shipping Assistant, you'll act as the key coordination point between suppliers and customers — managing purchase orders, tracking delivery timelines, monitoring payments, and arranging shipments. This role is ideal for someone who is detail-oriented, communicative, and comfortable juggling multiple moving parts at once. Key Responsibilities Liaise with suppliers and customers to confirm order details and delivery schedules Issue purchase orders (PO) to suppliers and follow up on order confirmation and progress Track and monitor delivery timelines to ensure on-time fulfillment Coordinate and arrange delivery logistics with carriers/freight forwarders Monitor customer payment status and follow up on outstanding payments before arranging delivery Communicate proactively with customers regarding order status, delays, or changes Maintain accurate records of POs, shipments, and payment status Resolve delivery or supply issues by coordinating between suppliers, carriers, and customers Update internal systems/spreadsheets with shipment and order tracking information Qualifications Diploma or degree in Logistics, Business, Supply Chain, or related field (or equivalent experience) Previous experience in shipping coordination, logistics, procurement, or customer service preferred Strong communication and negotiation skills — comfortable liaising with both suppliers and customers Good organizational skills with ability to manage multiple orders/timelines simultaneously Basic understanding of purchase orders, invoicing, and payment terms Proficient in Excel/spreadsheets; familiarity with Quickbook systems is a plus Detail-oriented, reliable, and able to work under time pressure
