About this role

The Project Delivery & Operations Manager will play a hands-on role in driving the successful delivery of H3 Zoom’s managed services and inspection projects across façade, interior, and built environment inspection workflows. This role is designed for someone who is operationally strong, detail-oriented, and comfortable managing project execution from start to finish — including project planning, milestone tracking, stakeholder coordination, report readiness, QA/QC follow-up, subcontractor coordination, and delivery documentation. The role is not purely administrative. The successful candidate must be able to work closely with internal teams, field operations, AI/product teams, subcontractors, clients, and technical reviewers to ensure that projects are delivered on time, within scope, at the required quality standard, and in line with customer expectations. This is a lean team. There is no large support structure beneath you. We need someone who gets things done themselves — plans, tracks, resolves, delivers. Project Delivery & Execution Support the end-to-end delivery of H3 Zoom’s inspection and managed services projects. Track project milestones, deliverables, dependencies, and timelines across multiple client projects. Coordinate with field operations, AI/data teams, project managers, subcontractors, and customer success teams to ensure smooth delivery. Ensure all project activities are properly documented and followed through to closure. Monitor project progress and escalate delays, risks, blockers, or resource constraints early. Support resource planning for inspection, data processing, QA/QC, report generation, and client submission workflows. 2. Hands-on Project Analysis & Reporting Analyse project progress, delivery performance, turnaround time, SLA achievement, and operational bottlenecks. Prepare weekly and monthly project status reports for management and key stakeholders. Consolidate updates from internal teams and translate them into clear, actionable project insights. Support management reporting on project risks, delivery performance, client issues, and operational improvements. Identify recurring causes of project delays and recommend process improvements. Maintain accurate project records for auditability, client reporting, and internal review. 3. QA/QC, Report Readiness & Submission Support Support QA/QC checks on inspection deliverables, including defect listings, commentaries, images, reports, and client-ready submissions. Coordinate with technical reviewers, Professional Engineers, Competent Persons, and project teams to ensure report completeness. Track review comments, technical clarifications, and closure of outstanding items before final submission. Assist in preparing BCA, client, or regulatory submission reports Ensure final deliverables meet agreed quality standards, client requirements, and internal delivery checklists. Support the review of AI-generated outputs and CP/technical comments to ensure consistency before submission. 4. Client, Stakeholder & Subcontractor Coordination Serve as a key coordination point between H3 Zoom’s internal delivery teams and external stakeholders. Liaise with clients on project schedules, deliverable timelines, information requests, and follow-up actions. Coordinate with subcontractors and partners to ensure workstreams are completed according to timeline and quality expectations. Track external dependencies, pending inputs, client approvals, and subcontractor deliverables. Support client meetings by preparing agendas, minutes, action items, and follow-up trackers. Ensure stakeholders are kept updated on progress, risks, and next steps. 5. Hands-on Leadership Provide structure and clarity to fast-moving projects, especially where roles, timelines, or ownership may be unclear. Support the CEO in driving accountability across project teams. Be comfortable operating in a startup environment where the role requires both planning and hands-on execution. Requirements Experience Minimum 4–7 years of relevant experience in project delivery, project management, operations, construction technology, building consultancy, inspection services, engineering services, or managed services delivery.
