Operations & Marketing Coordinator

Arrangement: Hybrid, with a path to fully remote This role sits within Swimmerse, part of the Hare Fitness Group family. Swimmerse is a 20-year established swim school in Singapore, known for helping fearful and anxious children build real water confidence. We're looking for an Operations & Marketing Coordinator to become the engine room behind Swimmerse swim school — running class scheduling, admin systems, and marketing, with real ownership over how things work. What You'll Own Class Scheduling & Operations Build and run the class scheduling system — coach allocation, student placement, waitlists Coordinate trials, make-up lessons, replacement lessons, and class transfers Improve the scheduling workflow as the school grows, not just maintain it Admin Systems Maintain accurate student, parent, and coach records Own enrolment, billing coordination, and payment tracking Confirm bookings, notify coaches, and keep everything airtight Marketing Run the content calendar — social, parent communications, referral campaigns Support paid campaigns (Meta/Google Ads) Represent company at community events and industry forums Customer Experience Handle enquiries across WhatsApp, phone, and web forms with warmth and speed Match families to the right class and coach — especially for anxious first-timers Convert enquiries into confirmed registrations What We're Looking For Operations, admin, or scheduling experience (education, fitness, hospitality, or similar) Marketing execution experience — content, campaigns, or community building Someone who takes ownership of a system rather than waiting to be told what to do Organised, detail-driven, and genuinely good with people Google Sheets/Excel fluency; design tool familiarity (Canva or similar) a plus Who Thrives Here You're meticulous — nothing slips through the cracks on your watch, whether it's a booking, a payment, or a coach handover. And you're genuinely friendly — parents and coaches alike find you easy to work with, even when you're juggling a lot. What success looks like: Schedules run smoothly with no double-bookings or dropped enquiries. Parents feel looked after, not processed. Marketing goes out consistently instead of in bursts. And six months in, you've found and fixed at least one system that wasn't working — because you noticed, not because someone told you to. Environment: Small, fast-moving team.
