About the Company Our client is a leading international law firm with a strong presence across major financial markets. To support its growing operations, the firm is seeking an Office Admin Executive to provide administrative, facilities, and operational support to ensure the smooth day-to-day running of the office. This position plays an important role in maintaining office efficiency, supporting employees and visitors, coordinating logistics, and delivering a high standard of workplace services. The successful candidate will work closely with the Office Manager and other internal stakeholders to provide administrative, facilities, and office support services in a professional environment. About the Role Reporting to the Office Manager, the successful candidate will be responsible for a broad range of office administration and operational support duties, including but not limited to: Providing reprographic services including printing, photocopying, scanning, binding, and document preparation. Handling confidential documents and maintaining proper document storage, retrieval, archiving, and disposal processes. Managing incoming and outgoing mail, courier services, and external deliveries. Coordinating document delivery and collection to and from government authorities, courts, legal institutions, and external organizations. Providing reception support, including greeting visitors, handling calls, and directing enquiries. Assisting with meeting room setup, office events, workshops, and internal functions. Maintaining office common areas, copy rooms, pantry facilities, and meeting rooms in a clean and professional condition. Managing stationery, pantry inventory, office supplies, and procurement activities. Supporting invoice verification, banking errands, expense submissions, and other administrative functions. Coordinating equipment maintenance and liaising with external service providers when required. Assisting with onboarding logistics, including workstation setup and preparation of office supplies for new joiners. Providing general administrative and operational support as assigned by management. Qualifications Secondary School, Diploma, or equivalent qualification. Minimum 3 years of relevant experience within a professional services firm, financial institution, or corporate environment. Required Skills Good command of spoken and written English. Professional presentation and customer-service-oriented mindset. Proficient in Microsoft Office and general computer applications. Ability to manage multiple tasks and priorities effectively. Strong organizational and time management skills. Reliable, proactive, and able to work independently. Willingness to perform both office-based and outdoor duties as required.
