The Sales Administrator provides administrative and operational support to the Sales & Business Development team to ensure the efficient management of customer enquiries, quotations, sales orders, and project documentation. The role acts as a key liaison between customers, sales, operations, logistics, procurement, and finance to ensure timely delivery of products and services while maintaining a high level of customer satisfaction. Key Responsibilities Provide day-to-day administrative support to the Sales team. Prepare and issue quotations, sales orders, purchase requisitions, and other sales-related documentation accurately and promptly. Process customer enquiries and coordinate with internal departments to ensure timely responses and order fulfilment. Maintain and update customer records, sales databases, and CRM systems. Coordinate equipment availability, delivery schedules, and logistics with the Operations and Workshop teams. Track customer orders from quotation through delivery and invoicing, ensuring all milestones are met. Liaise with Procurement on supplier quotations, purchase orders, and delivery timelines. Prepare customer documentation, including delivery notes, equipment lists, certificates, and commercial documents. Monitor outstanding quotations and follow up with customers and the Sales team where appropriate. Support the preparation of sales reports, forecasts, and management presentations. Assist with tender submissions by compiling technical and commercial documentation. Coordinate customer meetings, travel arrangements, and business development activities when required. Ensure all sales documentation complies with company procedures and quality standards. Provide excellent customer service by responding professionally and promptly to customer enquiries. Perform other administrative duties assigned by the Sales Manager. Qualifications Diploma or Degree in Business Administration, Sales, Marketing, Logistics, or a related discipline. Relevant administrative or sales support certifications are an advantage. Experience Minimum 2 years of experience in a Sales Administration, Sales Support, Customer Service, or Commercial Administration role. Experience in the offshore, marine, oil & gas, engineering, industrial equipment, or rental industry is preferred. Experience supporting quotations, order processing, and customer account management. Skills & Competencies Excellent organisational and administrative skills with strong attention to detail. Strong communication and interpersonal skills. Ability to manage multiple tasks and prioritise effectively in a fast-paced environment. Proficient in Microsoft Office applications, particularly Excel and Word. Experience using ERP systems (such as SAP, Microsoft Dynamics, IFS, or Oracle) and CRM platforms is an advantage. Commercial awareness with a customer-focused mindset. Ability to work independently and collaboratively across departments. Strong problem-solving skills and a proactive approach to work.
