Senior Executive Assistant to Director (Mandarin/Vietnamese/English) Job Description OU MAZING INTERNATIONAL FURNITURE PTE. LTD. is seeking an experienced and highly organised Senior Executive Assistant to the Director to provide executive-level support in business operations, regional coordination, stakeholder management, and multilingual communication. The successful candidate will work closely with the Director to support business priorities, coordinate international engagements, facilitate communication with overseas partners, and ensure effective execution of operational and strategic initiatives. This role requires a professional with strong organisational abilities, business communication skills, and full professional fluency in Mandarin, Vietnamese, and English to support cross-cultural collaboration in an international business environment. Roles & Responsibilities Executive & Business Support Provide executive-level support to the Director in managing business priorities, operational matters, and strategic initiatives. Manage executive schedules, meetings, appointments, communications, and follow-up actions. Prepare business reports, presentations, management documents, and correspondence. Coordinate with internal teams to ensure timely execution of business activities. Handle confidential business information with professionalism, discretion, and integrity. Regional Business Coordination & Stakeholder Management Coordinate communications and business activities with regional clients, suppliers, partners, and stakeholders. Support cross-border meetings, discussions, negotiations, and presentations. Act as a key liaison between the Director and Vietnamese-speaking business contacts. Facilitate effective communication between Singapore operations and overseas stakeholders. Assist with international travel arrangements, business meetings, and regional engagements. Trilingual Communication & Interpretation Provide professional written and verbal translation between Mandarin, Vietnamese, and English . Provide interpretation support during business meetings, negotiations, presentations, and discussions. Ensure clear and culturally appropriate communication with multilingual stakeholders. Support relationship management with international clients and partners. Market Research & Business Support Conduct market research and gather industry information relating to the upholstered furniture, manufacturing, technology, and consumer products sectors . Monitor market trends, competitor activities, and industry developments. Support business development activities and strategic projects. Prepare information summaries to support management decision-making. Executive Coordination Coordinate corporate meetings, business events, and executive engagements. Manage domestic and international travel arrangements, including flights, accommodation, visas, and itineraries. Provide confidential executive support for selected professional and personal arrangements requiring discretion. Assist with special projects and assignments as required by the Director. Requirements Minimum 5 years of experience supporting senior executives, directors, business owners, or senior management teams. Full professional fluency in Mandarin, Vietnamese, and English is essential. Strong communication skills with the ability to engage stakeholders across different cultures. Experience in executive support, business coordination, stakeholder management, or regional operations. Excellent organisational skills with strong attention to detail. Ability to manage multiple priorities in a fast-paced environment. Proactive, independent, and able to anticipate business needs. High level of professionalism, confidentiality, and sound judgement. Proficient in Microsoft Office Suite, Google Workspace, and modern productivity tools. Experience in an international business environment is preferred. Knowledge or experience in the furniture, manufacturing, trading, technology, or consumer products industry will be advantageous. Preferred Qualifications Diploma or Degree in Business Administration, International Business, Management, Languages, Communications, or related disciplines. Experience supporting regional operations or working with overseas clients, suppliers, or business partners.
