We are seeking an organized, proactive, and dependable professional to join our team as a Learning Program Executive. In this role, you will be the backbone of our funded training programs — ensuring every engagement runs smoothly for clients, trainers, and participants from start to finish. You will serve as a trusted point of contact for clients and stakeholders, managing end-to-end logistics, coordinating communications, and delivering responsive support throughout the learning journey. Beyond client-facing work, you will handle administration, logistics, and operational processes to ensure every training engagement is delivered smoothly, accurately, and to a high standard. Key Responsibilities Training Facilitation & Coordination Host Sessions: Facilitate training sessions conducted either physically on-site or virtually through video conferencing platforms. Classroom Management: Oversee classroom setup, administer attendance records, encourage participant engagement in Q&A or group activities, and invigilate assessments. Training Venue Coordination: Liaise and arrange training requirements with hotels and venues for public run programs. Client & Stakeholder Management Client Coordination: Serve as a dedicated point of contact for clients' training departments, managing logistics and preparing post-training documentation. Collaboration: Work closely with trainers, vendors and internal teams to support smooth day-to-day program operations. Resource Management: Create and maintain training resources on learning platforms for participant access and reference. Session Setup & Administration Platform & Portal Management: Configure training sessions across video conferencing platforms (Webex and Zoom), government training portal (TPGateway), and internal Training Management System (TMS). Enrolment Processing: Process online registrations and participant enrolments accurately and on time. Compliance & Documentation Funding & Grant Processing: Review and process training records meet all criteria for government funding and grant submission in TPGateway. Audit Support: Support periodic documentation reviews, audit, and compliance checks. General Support: Assist with other ad-hoc duties as assigned. Demonstrated ability to manage multiple programs and deadlines while maintaining high levels of accuracy and customer service. Strong verbal and written communication skills. Strong organizational, problem-solving, and stakeholder management skills, with a proactive and dependable approach to work. Familiarity with TPGateway, grant processing and audit is a strong advantage. Minimum Diploma in a relevant field preferred.
