Temporary Legalisation & Admin Officer (12 months) About the Role We are looking for a reliable and professional individual to ensure the accuracy and compliance of certificate procedures through careful document verification and authentication. The role involves providing responsive customer service, assisting with online payments, and handling inquiries via walk-ins and emails. You will support counter operations, resolve certificate-related challenges, and provide administrative assistance such as data entry and record maintenance. The ideal candidate will be detail-oriented, efficient, and committed to delivering a smooth customer experience while ensuring timely completion of tasks. Legalisation (Main Tasks) - Ensure the accuracy and compliance of Notarial Certificate procedures prior to document authentication. - Conduct thorough, multi-step verifications on Singapore Government-issued documents before processing them for Apostille. - Provide exceptional, responsive customer service to address inquiries, resolve issues, and enhance the overall customer experience. - Assist customers and members of the public with online payment processes. - Respond promptly to customer inquiries received through walk-ins and emails. - Address customer challenges or concerns related to Notarial Certificates and document legalisation. - Support counter operations by assisting with general and technical issues, escalating matters as needed before opening. Stakeholding (When required) - Administrative support (including data entry) to the team to ensure smooth and efficient daily operations. - Maintain and update records in the Stakeholding System and SharePoint. - Ensure timely completion and accuracy of assigned tasks. - Carry out additional duties as assigned. Job Prerequisites Diploma qualification from a local polytechnic. Minimum 2 years of office-based customer service work experience. Good verbal communication, interpersonal, and written skills. Pleasant and positive attitude. Team player who thrives in a fast-paced work environment. Working Hours - Monday to Thursday: 8.00 am to 5.30 pm - Friday: 8.00 am to 5.00 pm Working Location Singapore Academy of Law 1 Coleman Street #08-06 The Adelphi Singapore 179803 (10 minutes' walk from City Hall MRT station) Interested candidates are invited to submit their resume, stating current and expected salary, as well as date of availability.
