Overview The Operations Assistant is to be conversant with the overall safety, security and safeguarding of the school, including the corresponding policies and SOPs. The appointment holder is the interface between the school and the outsourced security service provider (OSSP) for business continuity in relation to the school's operations in matters related to security, health and safety and safeguarding. This role works very closely with OSSP to provide guidance and assistance to ensure smooth transition and continuity of operations, which is very critical especially during the initial period of taking over. Duties & Responsibilities: 1. As a member of the School Company Emergency Response Team (CERT), act as a first responder to all emergencies to prevent it from escalating into a major disaster. It includes incidents that require evacuations. 2. Manage, operate and optimise AI-driven security systems, including smart Video Management Systems, smart Visitor Management System and access control. Additionally, to perform first level technical troubleshooting and fault finding of these systems. 3. Attend to all security, health and safety, and safeguarding related incidents in school, leveraging the AI-driven security systems. 4. Collaborate withthe OSSP to manage the school internal vehicular traffic during the peak hours. 5. Conduct daily/periodic physical checks on health, safety and safeguarding areas, (including the fire alarm panels and call points). 6. Utilise the existing Computerised Maintenance Management System (Corrigo) to log facility defects for timely rectification and analyse data for predictive maintenance. 7. Create and manage security passes. 8. Maintain livewatch of the school compound via the CCTV coverage, including replaying the day's footage (existing CCTV system). 9. Maintain intelligent live watch of the school compound via AI video analytics and conduct automated forensic searches of historical footage. 10. Conduct investigations, vet incident reports submitted by the OSSP, and conduct After Action Reviews (AAR) utilising Generative AI tools (e.g. Gemini) to synthesise data and draft reports/documents. 11. Conduct security and risk assessments on the school compound, utilising AI tools to map risk trends and deliver recommendations. 12. Manage workplace investigation, grievance and discipline, including digital logging and conflict resolution between the school and the OSSP. 13. Attend to and log security incidents/complaints highlighted by school staff, students and visitors. 14. Enforce security, health and safety, and safeguarding policies, protocols and measures to ensure a safe and secure environment for all in the school. 15. Coordinate with the OSSP to plan and manage school events (e.g. Open House) that require security support. 16. Any other operations/security related tasks as and when assigned by the COO/ Admin Manager. Requirements: · Have proven experience in operations, facilities or security related fields of work. Prior experience deploying or using operations technology in an international school environment is an advantage · Have proven experience in managing and operate access control and CCTV systems and AI-integrated video analytics, VMS and access control systems. · Possess a good command of English, both oral and written, with the ability to prompt and review AI-generated reports for accuracy. · Be a tech-forward team player with positive, vibrant work attitude, high initiative,and a passion for operational digital transformation. · Possession of excellent interpersonal and cross-cultural communications skills for managing technical vendor relations is an advantage. · Capable of independent and committed effort, with sharp organisational skill and data-driven mindset. · Demonstrate a strong understanding of the latest security technology, AI systems, IoT applications and physical security best practices. · Possess strong digital literacy, including proficiency in MS Office/365, basic data analytics/dashboarding, and AI productivity tools. · Possess an aptitude and desire to constantly upgrade knowledge, certifications and skills in emerging security and facility tech fields. · Ability to …
