About this role
We are looking for a highly organized, trustworthy, and proactive Operations & Admin Manager to oversee the day-to-day business administration of our financial advisory team. In this role, you will be the engine room of our office—ensuring our administrative workflows, financial tracking, and internal projects run seamlessly. We are not looking for a passive task-executor. We need a reliable partner who takes pride in structure, feels comfortable managing budgets and numbers, and enjoys problem-solving independently to keep the business moving forward. Key Responsibilities 1. Office Administration & Structure Workflow Coordination: Organize, streamline, and maintain our daily office operations, digital filing systems, and team resource drives. Training & Onboarding Support: Coordinate the logistics for new team member onboarding, including preparing training schedules, managing materials, and setting up new recruits for success. Event & Logistics Management: Handle end-to-end planning for corporate events, staff dinners, client appreciation initiatives, and corporate gifting. 2. Financial Administration & Data Tracking Expense & Budget Management: Accurately track business expenses, manage team welfare budgets, and maintain clear records of client-related costs. Payment Tracking & Verification: Monitor and reconcile vendor invoices, corporate transactions, and outgoing fund transfers. Problem Resolution: Actively investigate and resolve any discrepancies with vendors, banks, or receipts independently before escalating them. 3. Special Projects & Problem Solving Project Execution: Take ownership of ad-hoc administrative projects from start to finish (e.g., sourcing new vendors, migrating to a new tracking system, or organizing an office shake-up). Independent Troubleshooting: When administrative bottlenecks or operational issues arise, take the initiative to find a practical solution. Requirements Experience: Ideally 3+ years of experience in office management, secretarial work, operations, or senior administrative roles. Experience in fast-paced or sales-driven environments is a plus. Comfort with Numbers: Highly proficient in basic bookkeeping, tracking sheets, and budget reconciliation. You don't need a formal accounting degree, but you must have a sharp eye for numerical accuracy. Self-Driven & Resourceful: A proven track record of working independently. You are someone who figures things out, takes initiative, and doesn't require constant supervision to get things across the finish line. Organized Mindset: You naturally love order, schedules, and systems. You enjoy cleaning up messy processes and keeping things structured.
