Job Summary A Project Claim Administrator manages the administrative processes of project claims, ensuring accurate documentation, timely submission, verification, and follow-up to support efficient claim approval and payment. Responsibilities Prepare and compile claim documents, invoices, and supporting evidence to ensure accurate and compliant submissions Verify claim details against contracts and work completion records to confirm validity and accuracy Check and validate subcontractor claims to ensure alignment with job completion status Maintain organized records of submitted claims, approvals, pending payments, and follow up on missing or incomplete documents Monitor claim status and proactively follow up with clients and stakeholders on approvals and payment progress Communicate effectively with project managers, finance teams, subcontractors, and clients to resolve claim disputes or clarifications Maintain a tracking system for outstanding payments and expected claim receipts to support financial reconciliation Collaborate with project managers to align work completion with claimable amounts and ensure accurate claim submissions Liaise with finance and accounting departments to facilitate payment processing and reconciliation Prepare detailed reports on claims submitted, approved, pending, and rejected to inform management decisions Identify discrepancies in claims and recommend process improvements to enhance claim efficiency Address claim disputes by providing supporting documentation and revising claims as needed based on feedback Document rejected or disputed claims thoroughly for future reference and audit purposes Required competencies and certifications Diploma in Civil Engineering or related Engineering Discipline At least 1 year of relevant experience in project claims administration Proficiency in Microsoft Office applications Effective communication skills to liaise with multiple stakeholders Ability to meet tight deadlines and manage workload independently and within a team Preferred competencies and qualifications Knowledge of AutoCAD drafting Other Information Work schedule: 5 Days Work Week, 8.30 AM to 6.00 PM
