Role Summary The Quality Improvement Specialist is responsible for maintaining and enhancing the company's quality management documentation, compliance processes, and audit readiness. This role supports the organization's commitment to operational excellence by ensuring documentation is accurate, controlled, and aligned with internal standards, customer requirements, and applicable regulatory frameworks. Working closely with cross-functional stakeholders, the incumbent will drive continuous improvement initiatives, support quality and compliance reviews, facilitate audit activities, and contribute to the effectiveness of the Quality Management System (QMS). This position is well-suited for a hands-on quality professional with experience in quality systems, document control, compliance monitoring, and continuous improvement within a manufacturing environment. Key Responsibilities Develop, review, and maintain quality documentation, including SOPs, work instructions, inspection standards, forms, and quality manuals. Ensure quality documentation complies with internal policies, customer requirements, and applicable management system standards (e.g., ISO 9001, ISO 14001). Manage document control processes, including document issuance, revision control, distribution, retention, and archival of obsolete documents. Collaborate with cross-functional teams (Quality Assurance, Quality Control, Engineering, Production, and other stakeholders) to develop, review, and improve quality-related documentation. Support internal and external audits by preparing, organizing, and maintaining required quality and compliance documentation. Conduct periodic documentation and compliance reviews to verify adherence to established procedures, standards, and regulatory requirements. Assist in monitoring compliance with company policies, management system requirements, and documented procedures across relevant functions. Identify gaps, non-conformities, and improvement opportunities through documentation reviews, compliance checks, and audit findings. Support the implementation and follow-up of corrective and preventive actions (CAPA) to address quality and compliance-related issues. Analyse quality and operational performance data to identify trends, improvement opportunities, and the effectiveness of implemented actions. Prepare quality and compliance reports, metrics, and dashboards to support management review and decision-making. Support Management of Change (MOC) and other governance processes by ensuring documentation updates, compliance requirements, and control measures are appropriately addressed. Facilitate training and awareness programmes related to documentation standards, quality requirements, and compliance processes. Qualifications & Experience Diploma or Degree in Quality Management, Engineering, Manufacturing, Industrial Engineering, Business Administration, or a related discipline. Minimum 2–5 years of relevant experience in quality systems, document control, compliance, audit coordination, or continuous improvement, preferably within a manufacturing environment. Familiarity with Quality Management Systems (QMS) and ISO standards such as ISO 9001 and ISO 14001. Experience supporting internal and external audits will be advantageous. Basic knowledge of corrective and preventive actions (CAPA), root cause analysis, and continuous improvement methodologies. Experience maintaining controlled documentation and document management systems is preferred. Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint. Strong analytical, organizational, and problem-solving skills with attention to detail. Good communication and interpersonal skills with the ability to work effectively across different functions. Self-motivated, detail-oriented, and capable of managing multiple priorities independently. Preferred Qualifications Internal Auditor certification or audit experience. Exposure to Lean, Kaizen, 5S, or other continuous improvement initiatives. Experience in the machinery, manufacturing, precision engineering, or industrial sectors.
