Job Summary The role focuses on providing comprehensive administrative and personal assistant support by managing and organising documents and correspondence, processing and formatting records, and maintaining accurate databases while tracking deadlines. It also involves diary management for Heads of Department, handling administrative and financial matters such as invoice verification and payment requests, and supporting the team in digital transformation initiatives to improve efficiency and workflow processes. Responsibilities Organise and file documents, emails, and correspondence by subject matter to ensure easy retrieval and compliance Proofread, tag, format, and create/edit PDF documents to maintain accuracy and professional presentation Track and monitor deadlines to support timely completion of tasks and projects Manage and update records and databases to ensure data accuracy and accessibility Provide personal assistant and administrative support to Heads of Department, including diary management to optimise scheduling Verify invoices and raise payment requests to support accurate financial processing Assist with digital transformation projects to enhance team efficiency and streamline workflow processes Required competencies and certifications Understand legal terminology, procedures, and documentation to support accurate document handling Apply exceptional attention to detail when reviewing and proofreading legal documents to ensure error-free outputs Use legal document management systems proficiently to organise and retrieve documents efficiently Demonstrate advanced Microsoft Office skills, especially Word, for precise legal document formatting Manage deadlines and coordinate calendars effectively to support departmental operations Apply knowledge of financial processing and invoice verification procedures to ensure accurate payments Other Information Location: Pasir Panjang Office Hours Up to $4k Next Step Drop your resume and contact us to follow-up, or send your resume to yana.norzamry@adecco.com or wa.me/89958291 Only shortlisted candidates will be contacted Yana Norzamry | Personnel Registration No: R26160959 | EA Licence No.91C2918
