Responsibilities Manage day-to-day procurement activities, ensuring purchases are completed within approved budgets. Maintain and update the Inventory Management System (IMS), including inventory levels, requisitions, and supply records. Coordinate with suppliers to ensure timely delivery of spare parts, stores, and equipment to assigned vessels. Process supplier invoices and liaise with the Finance department to facilitate timely payment in accordance with company procedures. Support Technical Superintendents by reviewing, updating, and maintaining weekly and monthly technical reports for assigned vessels. Maintain accurate filing and documentation of technical reports, vessel records, and operational documents. Coordinate service arrangements and logistics for technical managers and vessel requirements. Assist in maintaining the Planned Maintenance System (PMS), ensuring manufacturers' maintenance schedules are updated and periodically reviewed. Support the HSSEQ function by maintaining safety and quality documentation, following up with vessels on compliance matters, and ensuring records are properly filed. Maintain databases relating to vessel certificates, statutory documentation, inspection reports, and safety records. Assist in establishing and maintaining comprehensive documentation for operational, technical, and compliance purposes. Collaborate with various departments to gain a broad understanding of operational workflows and contribute to process improvement initiatives. Perform other procurement, technical, and administrative duties as assigned. Requirements Diploma or Degree in Maritime Studies, Marine Engineering, Supply Chain, Business Administration, or a related discipline. Minimum 3 years of relevant experience in procurement, technical administration, ship management, or a similar maritime environment. Experience supporting technical, purchasing, or HSSEQ functions within the maritime industry will be an advantage. Proficient in Microsoft Office applications, particularly Microsoft Excel, with good general computer literacy. Familiarity with Inventory Management Systems (IMS), Planned Maintenance Systems (PMS), or ERP systems is advantageous. Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities. Good written and verbal communication skills. Proactive, resourceful, and results-oriented with the ability to work independently and collaboratively. Strong interpersonal skills with the ability to coordinate effectively with internal stakeholders, suppliers, and vessel personnel.
