Job Description – Vessel Operations Executive Key Responsibilities Manage the day-to-day operational activities of assigned vessels from fixture confirmation through to completion of the voyage. Coordinate closely with shipowners, charterers, Masters, agents, terminals, surveyors, and other stakeholders to ensure smooth vessel operations. Monitor vessel ETA, port calls, loading and discharge operations , ensuring timely communication with all relevant parties. Issue and follow up on voyage instructions, operational instructions, and shipping documentation . Coordinate with port agents to arrange port clearance, berthing, cargo operations, and other port-related requirements . Monitor vessel movements and provide regular updates to internal and external stakeholders. Review and manage Statements of Facts (SOF), Notices of Readiness (NOR), Bills of Lading, cargo documents, and other voyage-related documentation . Assist with laytime and demurrage calculations , including reviewing supporting documents and following up on claims where required. Monitor freight, hire, port costs, agency fees, and other operational expenses and coordinate with relevant internal departments. Handle operational issues and unexpected situations during the voyage, working closely with the Master, owners, charterers, and agents to find timely solutions. Ensure compliance with charter party terms, company procedures, and applicable maritime regulations . Maintain accurate records of vessel movements, voyage documentation, operational costs, and performance. Work closely with the Chartering, Commercial, Finance, and Trade Operations teams to ensure seamless execution of fixtures and voyages. Requirements Diploma or Degree in Maritime Studies, Shipping, Logistics, Business, or a related discipline . 1–5 years of experience in vessel operations, ship operations, post-fixture, chartering operations, or shipbroking. Experience in tanker, dry bulk, or container vessel operations will be advantageous. Good understanding of charter parties, voyage execution, port operations, and shipping documentation . Familiarity with NOR, SOF, Bills of Lading, laytime, demurrage, and vessel scheduling . Strong communication and stakeholder management skills. Able to work under pressure and manage multiple vessels or voyages simultaneously. Strong attention to detail and good organisational skills. Proficient in Microsoft Office and shipping/operations systems.
