Job Title: HR & Admin Executive Key Responsibilities Human Resources Manage the full recruitment cycle, including job postings, candidate screening, interview coordination, and onboarding/offboarding processes. Prepare employment contracts and maintain employee records, personnel files, and HR documentation. Administer employee attendance, leave, overtime, and other HR records. Assist in payroll preparation, salary administration, and employee benefits management. Process Employment Pass (EP), S Pass, and Work Permit applications, renewals, cancellations, and other work pass-related matters. Support employee training, performance management, employee engagement, and employee relations initiatives. Foster a positive, collaborative, and inclusive workplace culture that encourages teamwork and employee engagement. Administration Manage office administration, including procurement of office supplies and fixed asset records. Maintain office facilities, meeting rooms, office equipment, and a safe, organized working environment. Coordinate company meetings, corporate events, employee engagement activities, and staff welfare programmes. Oversee day-to-day administrative operations and ensure smooth office management. Compliance Ensure compliance with Singapore employment legislation and company policies. Assist in reviewing and updating the Employee Handbook, HR policies, and internal procedures. Support government audits, statutory reporting, and compliance documentation. External Liaison Coordinate with government agencies, recruitment agencies, insurance providers, and external vendors. Handle work pass matters and other employment-related administrative requirements. Assist in insurance administration and other corporate administrative matters. General Support Perform other HR and administrative duties as assigned by Management. Work closely with various departments to improve HR and administrative processes and operational efficiency. Requirements Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline. Minimum 5 years of relevant experience in Human Resources and Administration. Good knowledge of Singapore Employment Act, MOM regulations, and HR best practices. Hands-on experience in processing Employment Pass (EP), S Pass, and Work Permit applications. Experience in recruitment, onboarding, payroll support, employee relations, and HR administration. Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint. Proficient in English and Mandarin (spoken and written) to effectively communicate with employees, external stakeholders, and Mandarin-speaking business partners. Strong organizational, interpersonal, and communication skills. Meticulous, responsible, and able to handle confidential information with integrity. Self-motivated, able to work independently with minimal supervision, and capable of managing multiple priorities in a fast-paced environment.
