About this role

1. ROLE OVERVIEW We are seeking an experienced, proactive, and hands-on Finance & Administration Manager to lead our financial operations, billing workflows, human resources, and office administration. Operating on QuickBooks, you will be responsible for end-to-end billing execution, tight month-end and year-end financial closings, and strategic treasury/money management. In this role, you will directly manage and supervise a distributed team of local and overseas subordinates across various countries (specifically including India and China), ensuring operational efficiency, cross-border compliance, and smooth communication between local headquarters and foreign branches. 2. KEY RESPONSIBILITIES A. Regional Team Leadership & Overseas Supervision • Manage, mentor, and supervise direct reports (finance and admin staff) located locally and in overseas entities, specifically India and China. • Establish standard operating procedures (SOPs), performance benchmarks, and clear closing/billing timelines across all operating regions. • Review and audit overseas bookkeeping submissions, ensuring alignment with headquarters standards and local regulatory frameworks. • Coordinate with external local and foreign auditors, tax consultants, and corporate secretaries across operating countries. B. Billing Operations & Accounts Receivable (AR) Management • Lead end-to-end billing workflows, including client invoicing, progress billings, and revenue recognition in QuickBooks. • Oversee AR aging reports, drive proactive collections, and manage client credit risk across local and overseas markets. • Ensure billing alignment with client contracts and regional tax invoices (GST, VAT, tax invoices, etc.). C. QuickBooks Management, Financial Closing & Treasury • Maintain chart of accounts, data integrity, and overall administration of the QuickBooks accounting system. • Spearhead fast, accurate month-end, quarter-end, and year-end financial closing processes across all regional entities. • Manage daily cash positions, cash flow forecasting, multi-currency balance tracking, working capital optimization, and international fund transfers (FX). • Prepare consolidated monthly financial statements, management reports, and budget variance analyses for senior management. D. Human Resources & General Administration • Supervise full-cycle HR administrative functions, including payroll approval, employee expense claims, leave tracking, and onboarding/offboarding. • Ensure corporate adherence to local statutory regulations, employment laws, tax requirements, and filing deadlines in all operating regions. • Manage administrative vendor contracts, procurement of supplies/services, facility maintenance, and corporate insurance policies. 3. REQUIREMENTS & QUALIFICATIONS • Core Software Skill: Expert-level, hands-on proficiency in QuickBooks (Online or Desktop) is strictly required. • Regional Experience: Proven track record in managing or overseeing financial operations, compliance, and tax frameworks for overseas entities in India and China. • Financial Closing Expertise: Demonstrated ability to independently lead tight month-end and year-end financial closing cycles accurately. • Treasury & Money Management: Solid hands-on experience in cash flow forecasting, working capital management, and multi-currency international transfers. • Billing Expertise: Strong background in managing high-volume or complex billing workflows and proactive credit collection processes. • People Leadership: Direct experience supervising, mentoring, and setting KPIs for both local and overseas/remote subordinates. • Education & Credentials: Bachelor's Degree in Accounting, Finance, or Business Administration. Professional qualification (CPA, CA, ACCA, or equivalent) is preferred but not a must. • Experience: Minimum 5+ years of total accounting/finance experience, with at least 2–3 years in a managerial role covering Finance, HR, and Admin. • Communication Skills: Excellent written and spoken English. Proficiency in Mandarin or relevant local Indian languages is an advantage for direct interaction with overseas teams and stakeholders. 4.
