Job Description The Administrative Executive is responsible for coordinating the day-to-day administration and office operations of the Singapore office, ensuring the office runs efficiently and professionally. Reporting to theSenior Administrative Executive, this role supports the smooth running ofoffice operations through the coordination of facilities, vendors,administrative systems and workplace support activities. The role will workclosely with stakeholders across Singapore, Malaysia and Hong Kong while supporting the implementation of regional administrative standards, processes and systems. The successful candidate will be proactive, organised and able to take ownership of assigned responsibilities with minimal supervision. Job Responsibilities · Coordinate the day-to-day administrative and office operations of the Singapore office · Manage office supplies, facilities, equipment and workplace maintenance requirements · Liaisewith external vendors and service providers, including IT support providers, building management and office suppliers, and monitor service delivery standards · Coordinate onboarding and offboarding logistics, including workspace setup, access arrangements and equipment coordination · Maintain accurate employee, corporate and administrative records · Support document management and filing systems to ensure records remain organised and readily accessible · Support procurement activities, including purchase orders, vendor documentation and invoice coordination · Assist with the administration of insurance policies, licences, registrations and other corporate records · Monitor office inventory and company assets · Support the implementation and continuous improvement of administrative systems, processes and SOPs · Ensure compliance with regional administrative standards and procedures · Contribute to regional administrative projects and initiatives as required · Identify opportunities to improve administrative efficiency and service delivery · Take ownership of assigned office operations matters and follow through to resolution with minimal supervision · Support the Senior Administrative Executive and business stakeholders in the delivery of administrative and office operations activities Job Requirements · Diploma in Business Administration, Management or a related discipline · 2–4years of experience in office administration, office coordination or a similar role · Experience coordinating office facilities, vendor relationships and administrative services · Strong organisational and time management skills · High level of accuracy and attention to detail · Abilityto work independently and manage competing priorities · Strong communication and stakeholder management skills · Good working knowledge of Microsoft Office, Microsoft 365 and SharePoint · Experience supporting onboarding and employee administration activities is advantageous · Abilityto handle confidential information with discretion and professionalism · Proactive, service-oriented and solutions-focused · Demonstrated ability to identify issues, take ownership and drive tasks through to completion Employment Type: Full-time To be considered for the role, please click the link below and fill in our job application form. https://forms.office.com/r/fWyYdr9Sz9 Due to the high volume of applications we receive, only shortlisted candidates will be contacted.
