Job Title: Assistant Technical & Procurement Executive / Technical & Procurement Executive The employee shall be responsible for supporting the technical and procurement aspects of the Company’s vessels, including but not limited to the following: Technical Vessel Support Assist the Technical Superintendent in daily vessel technical matters, maintenance follow-up, defect tracking and repair coordination. Follow up with vessel crew, vendors, service engineers and contractors on technical matters. Assist in maintaining vessel repair records, defect lists, technical reports and maintenance documentation. Monitor vessel defect reports and update close-out status. Assist in preparing technical updates, records and department reports. Dry Docking and Repair Support Assist in preparing dry docking and repair information, including repair lists, quotations, schedules and supporting documents. Coordinate with vessel crew, shipyards, vendors and service providers under the guidance of the Technical Superintendent. Source quotations for spare parts, repair works, services and vessel supplies. Prepare simple cost comparisons and supporting documents for review and approval. Assist in monitoring dry docking or repair progress and outstanding follow-up items. Vessel Survey and Compliance Support Assist in monitoring vessel certificates, class survey dates, LSA, FFA, PMS and other due dates. Coordinate survey, inspection and service arrangements with class, vendors, vessel crew and Technical Superintendent. Follow up on vessel reports, including noon reports, weekly reports and month-end reports. Maintain proper records for technical, procurement and compliance matters. Procurement and Vendor Coordination Source and obtain quotations for spare parts, services, marine supplies, safety equipment and other vessel requirements. Assist in preparing purchase orders, service orders, quotation comparisons and procurement records. Track orders, deliveries, invoices, service completion and payment follow-up. Coordinate with vendors, suppliers, vessel crew, warehouse, logistics, internal departments and Accounts Payable. Maintain vendor records and assist in monitoring supplier performance. Cost and Documentation Support Assist in monitoring procurement costs, vessel expenses and budget-related records. Highlight significant cost differences or delays to the Technical Superintendent / Manager. Maintain proper filing of purchase orders, quotations, invoices, contracts, certificates, drawings, manuals, reports and audit documents. Update Technical Department files in the Company’s shared drive or designated system. Assist in preparing reports, meeting notes and operational documents when required. General Duties Provide general administrative and coordination support to the Technical and Procurement Department. Support 1 to 3 vessels under the guidance of the Technical Superintendent / Manager. Assist in ad-hoc tasks, projects and operational matters assigned by the Company. Perform any other duties related to the role as assigned from time to time.
