Service Coordinator / Operations Executive (Air-Conditioning & Mechanical Ventilation - ACMV)

Job Summary We are seeking a proactive and organized professional to coordinate daily ACMV service and project operations, ensuring efficient scheduling, client and technician liaison, and timely completion of jobs from start to finish. Responsibilities Coordinate daily air-conditioning servicing, maintenance, and installation schedules to optimize workflow and resource allocation Liaise effectively with clients, technicians, and subcontractors to ensure smooth execution of service and installation works Respond promptly to customer enquiries, service requests, and complaints to maintain high customer satisfaction Prepare and issue accurate service reports, quotations, invoices, and related documentation to support operational transparency Conduct site visits to assess technical issues, discuss requirements, and engage with clients for project clarity (if required) Coordinate procurement of materials, spare parts, and equipment to maintain uninterrupted service operations Monitor and maintain inventory levels of spare parts and consumables to prevent shortages and delays Track work progress and ensure timely completion of service jobs according to schedule and quality standards Maintain accurate service records, job schedules, and operational documentation for effective reporting and compliance Provide general administrative and operational support to the service team to enhance overall efficiency Perform other ad-hoc duties as assigned to support team and project needs Preferred competencies and qualifications Diploma, Higher NITEC, NITEC, or equivalent qualification Experience in air-conditioning, mechanical and electrical (M&E), or facilities management sectors Basic technical knowledge of air-conditioning and mechanical ventilation (ACMV) systems Proficient in Microsoft Office applications including Word, Excel, and Outlook Strong organizational and communication skills with the ability to manage multiple tasks efficiently Ability to work independently in a fast-paced environment Ability to communicate in both English and Mandarin to liaise with Mandarin-speaking clients and technicians
