Job Description The Senior Recruitment Executive shall provide Recruitment Administrative Services and any other tasks assigned to the personnel. A. Recruitment-related Services Post job advertisements on career/job portals. Filter applicants' resumes for hiring managers' shortlisting. Coordinate and schedule job interviews, liaising with hiring managers and candidates, including clarifying information provided and addressing candidates' queries. Administer interview assessments. Collect relevant documents for interviews and hiring of selected candidates. Conduct reference checks on candidates. Record, update and track candidates throughout the interview process. Manage the Employee Referral Programme, including:receiving staff referrals;monitoring successful hirings;handling the required paperwork; andactivating referral reward payments when due. Support any other recruitment administrative work where required. B. Temporary Staff Management Coordinate with recruitment agencies to activate the recruitment of temporary staff. Monitor the interview and selection process of candidates recommended by recruitment agencies. Prepare submissions for approval to hire temporary staff. Record, update and monitor the contract period/expiry of temporary staff. Prepare submissions for approval of contract extensions where necessary. Coordinate with hiring managers, reporting officers, recruitment agencies and the internal ICT Department on onboarding and offboarding of temporary staff. Coordinate with recruitment agencies and reporting officers on leave clearance. Prepare submissions for approval of leave encashment for temporary staff where necessary. Verify monthly invoices from recruitment agencies. Assist in budgeting for the yearly temporary staff budget and monitor budget utilisation. Support other work related to temporary staff hiring, including periodic review of temporary staff salary rates. C. Human Resource Administrative Services Raise payment vouchers via the TenderBoard system for processing vendors' invoices for approval and payment. Create forms and templates to streamline work processes. Conduct desktop research on HR subjects as assigned. Organise data for easy retrieval and reference. Update and track data for annual budgeting exercises and half-yearly/periodic reporting. Extract and provide manpower-related data for reporting and manpower surveys. Requirements At least a Diploma in any discipline. Minimum 5 years of experience in operational and administrative support for HR departments. Good team player with a high level of initiative and able to work independently. Able to multi-task in a high-volume and fast-paced environment. Good communication and interpersonal skills. Good coordination, time management and organisational skills. Proficient in Microsoft Office, including data analysis and reporting.
